Description
Keeping Washington Clean and Evergreen
The Water Resources(WR) programwithin the Department of Ecology is looking to fill up to four Scanning and Records Assistant (Office Assistant 2) positions. The positions are locatedin our Headquarters Office inUpon hire, you must live within a commutable distance from the duty station.
In this position, you will play a key role for the program by providing support for records availability, retention, and quality assurance. You will support the management of permit records and other program records and ensure that paper records are tracked, scanned, reviewed for quality control and completeness as well as accessibility. Your work will help to ensure that information is archived according to Ecology's retention schedule and made available for decision making and public disclosure requests.

Program Mission: The mission of the Water Resources Program is to is to support sustainable water resources management to meet the present and future water needs of people and the natural environment, in partnership with Washington communities.
Please Note: These are temporary positions that are expected to end after one year.

Duties
What makes this role unique?
In this role, you will perform the foundational work of providing information to our team for decision making, providing information to the public, and assisting with the modernization of our processes.
What you will do:
  • Receive and audit the accuracy of hard copy permit and other program files as assigned by the team lead.
  • Determine document types to ensure appropriate procedures and filing location for all documents.
  • Follow appropriate scanning, naming, and tracking procedures depending on document type to prepare electronic versions of all documents.
  • Follow appropriate QA/QC procedures to ensure all images meet quality requirements and assist other members of the scanning team with their imaging reviews.
  • Follow appropriate database procedure for uploading of images to ensure images are locatable, available, and usable by Water Resource personnel and other records users.
  • Follow established tracking procedures to ensure all document originals are returned to the correct boxes.
  • Complete documentation necessary to allow for files to be moved to records or archives and returns files to appropriate personnel for shipping to records or archives.

Qualifications
Required Qualifications:
Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time. We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked. Examples of the proration calculations are:
  • 30 hours worked per week for 20 months: (30/40) x 20 months = 15 months full-time equivalent
  • 20 hours worked per week for 12 months: (20/40) x 12 months = 6 months full-time equivalent
Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, education, and volunteer experience. See below for how you may qualify.
Option 1: At least 18 months of experience in clerical, office, or administrative support work.
Option 2: 30-59 college level semester credits or 45-89 college level quarter credits AND previous clerical experience.
Option 3: 60-89 semester or 90-134 quarter creditsoran Associate's degree or above.

  • Experience with Microsoft Office products, databases, and attention to detail/organization.
