Essential Functions and duties:

  • Plan installation: 
    • Review information/documentation provided by the sales team when a plan is sold,
    • Prepare instructions to initiate work for all departments using Access database, Retirement Plan Administrator (RPA), which includes sending tasks through RPA to each department and creating the client folder with necessary sub-folders, and saving all information/documentation to said folder,
  • New Plans:  Review and correct documents for newly sold plans based on plan specifications provided by sales staff, in a timely manner as per internal deadlines. Review email for document delivery to client. Prepare hard copies when needed/requested,
  • Takeover Plans:  Prepare restated plan document based on document provided from prior firm, and any plan specifications provided by sales staff, for review in a timely manner as per internal deadlines. Make corrections as necessary and review email for document delivery to client. Prepare hard copies when needed/requested,
  • Amendments/Restatements:  Work with internal resources to prepare any necessary documentation to amend plans as requested by the client. This will include updating the financial institution with amended change once documentation is returned executed by client. All must be done in a timely manner, as per internal deadlines,
  • Document/Amendment Signature Pages:  Work with internal resources to ensure receipt of executed documents/amendments, follow up on missing signatures, and close out any task within our database so that unnecessary follow ups with the client do not occur,
  • Required Notices:  Prepare, review and deliver required notices (safe harbor and auto enroll) to client timely as per the IRS/DOL deadlines.
  • “Document Staff” Emails:  Respond to all internal and external emails addressed to the Document Staff email box,
  • Serves as technical resource for Consultants,
  • Provide superior customer service, including problem solving with minimal inconvenience to clients,
  • Provide effective and timely, both verbal and written, communications in a clear, concise and informative written manner,
  • Assists the client with all initial and ongoing plan design and document support,
  • Maintains up-to-date knowledge of present legislation and proposed legislative changes with regard to ERISA law through self-study and company-sponsored training sessions,
  • Coordinate with all applicable parties, both internal and external, to ensure accurate conversion process for new clients,
  • Responsible for protecting, securing, and proper handling of all confidential data held by LDSCO to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to LDSCO or our clients,
  • Additional Responsibilities - In addition to the outlined scope of duties and requirements for the position, there may be other tasks assigned as necessary. Your flexibility and adaptability in undertaking these additional responsibilities are crucial to ensuring the overall success and effectiveness of your role.

Secondary Responsibilities:

  • Assists in-house attorney with audits (IRS/DOL/PBGC) when necessary,
  • Assist assigned consultants in administering plans and responding to clients regarding their plans (i.e. – conference calls, email chains, etc.),
  • Provide training on as needed basis to small groups or individuals.

Qualifications

  • Preferred qualification: Bachelor's degree,
  • Preferred certification: American Society of Pension Professionals & Actuaries, Qualified 401(K) Administrator (QKA),
  • 3-5 years of advanced expertise in the Employee Retirement Income Security Act of 1974 (ERISA) and related regulations,
  • Proficient in reading and comprehending Plan Documents,
  • Strong attention to detail, ability to prioritize, manage tasks, and meet deadlines in alignment with business operations,
  • Clear and concise articulation of retirement terminology to clients,
  • Team-oriented attitude with a commitment to supporting others in achieving goals,
  • Proficient in English grammar, composition, spelling, and punctuation,
  • Computer proficiency, particularly in the Microsoft suite, especially Word,
  • Familiarity with FIS Relius/Datair systems and documents, including Volume Submitter and PPD,
  • Advanced customer service skills with a focus on appropriate business etiquette,
  • Excellent communication skills, encompassing verbal, written, interpersonal, and presentation abilities,
  • Effective planning, assigning work, and supervising support staff,
  • Willingness to embrace new duties and responsibilities upon request.

Working conditions

The position entails remote employment, and at LDSCO, we emphasize and encourage a "Work from Home" approach rather than merely practicing "remote work." In order to uphold the ongoing success of LDSCO's daily operations and to ensure the protection of confidential and sensitive client information, our employees Work from Home. They are responsible for providing their internet services, managing internet service protocols and safeguards, while LDSCO monitors a single IP address to oversee server protocols and safeguards, all within the framework of a robust two-factor authentication system.

Our business office operates during standard hours, from 8:00 am to 5:00 pm Monday through Thursday, and from 8:00 am to 2:00 pm on Fridays. This arrangement allows our team to maintain a structured and efficient workflow while adhering to a flexible and accommodating work-from-home model.

The LDSCO Staff of Actuaries, Attorneys, and Consultants are specialists in Pension, Profit Sharing, Cash Balance, Employee Stock Ownership, and 401(k) Plan Administration. These services include in part plan design and document preparation, compliance testing and reporting, annual plan participant ERISA compliance statements, participant loan and distribution documentation, and the plan’s signature ready Form 5500.
