The Lymphoma Research Foundation (LRF) seeks a Research Program Coordinator to join its Research Department. Located in New York City, LRF is the nation’s largest non-profit organization devoted to funding innovative research and serving the lymphoma community through a comprehensive series of education programs, outreach initiatives, and patient services. The Foundation’s mission is to eradicate lymphoma and serve those impacted by the disease.

LRF is dedicated to finding a cure for lymphoma, the most common form of blood cancer, by funding biomedical research and supporting the next generation of lymphoma researchers. With the guidance of the Foundation’s prestigious Scientific Advisory Board, which is comprised of 45 of the world’s leading lymphoma experts, LRF invests in the research and scientists which have the greatest potential to improve our understanding of lymphomas and lead to improved treatment options for patients. To date, the Foundation has funded more than $77 million in research focused on the origins and treatment of lymphoma.

Through comprehensive disease guides and publications, in-person conferences, and online resources, the Foundation provides education for people with lymphoma, as well as their loved ones and caregivers. A robust suite of LRF patient services provide direct support to people who have received a lymphoma diagnosis. These services include the national Lymphoma Helpline, a Clinical Trials Information Service, Lymphoma Support Network and patient aid grant program. An industry leader in digital communications, the Foundation maintains a strong presence on multiple social media platforms and has won national awards for its innovative use of social media to educate cancer patients. LRF developed a first of its kind mobile app for people with lymphoma which was recognized by Apple as one of the best medical apps in the country. The Foundation also provides continuing medical education programs designed to increase the knowledge, skills and performance of healthcare professionals who treat and care for people with lymphoma.

About the Opportunity

LRF seeks a Programs Manager to assist in the coordination and administration of the Research Department’s funded grants and scientific programs. The manager reports to the Director of Research Grants and Initiatives. This is an excellent opportunity to learn more about biomedical research and medical research grantmaking, and to be part of a growing team. Please note that is mandatory for Foundation staff, including this position, to work in the Foundation’s New York City office Tuesday-Thursday; staff may work remotely Mondays and Fridays. The salary range for this role is $60,000-80,000 annually.

Responsibilities

Research Programs and Meetings

  • Manage meeting logistics including but not limited to hotel and venue logistics (meals, a/v, room assignments) for Research Department programs and meetings, including tracking the use of sponsor funds.
  • Assist Director of Research Grants and Initiatives with external program committees coordination, including scheduling, communication to attendees, and notetaking in meetings as needed.
  • Communicate with the Foundation’s Scientific Advisory Board (SAB) members, grantees, and other meeting attendees to coordinate travel, distribute pre-meeting materials, and handle post-meeting expense reimbursements.
  • Assist in preparation and development of meeting materials, including coordination of shipping.
  • Provide day of meeting support for both in person and virtual meetings, including coordination of program registration and related logistics.
  • Oversee collection and reporting of program evaluations.
  • Maintain and track external conference/scientific meeting calendar.
  • Coordinate archival storage of department files, as needed.
  • Process vendor payments and coordinate internal financial paperwork.
  • Oversee preparation and execution of mailings to Research department constituents as needed.

Scientific Advisory Board and Grantee Support

  • Triage queries sent to Research Department general grants email answering general questions and forwarding to Director as needed.
  • Assist in creation and maintenance of grantee records, both in the Proposal Central grants management system, online shared files, progress reports and other grant-related documentation.
  • Assist with management of grantee progress reports including communicating with expert grant reviewers and grantees, and tracking status of the report review process.
  • Assist with preparation of grant application review materials and serve as support staff during grant review calls and meetings.
  • Maintain advisory board and grantee contact information in LRF internal systems, including Raiser’s Edge.
  • Track Research Program metrics, including compiling abstract lists from major conferences and aiding Director in entering publications, and other data in LRF internal tracking systems.
  • Assist Director in compiling data on Foundation grantees and Research Programs from Proposal Central and Raiser’s Edge and preparing reports for other LRF internal and external constituents.
  • Coordinate grantee payments with Finance department and track status in Research Department tracking systems, including responding to payment inquiries from grantee institutions.
  • Assist senior leadership, Director of Research Grants and Initiatives, and advisory board members with administration for any special projects that involve LRF grantees and/or advisory board committees, as needed.
  • Works in conjunction with Chief Program Officer (CPO) and Director of Research Grants and Initiatives on coordinating communication with SAB Leadership and SAB nominations.

Travel Requirements

  • Ability to travel to LRF programs as needed; some events may cover evening and weekend hours.
  • All travel is domestic.
  • Ability to lift at least 20 lbs
  • Total travel estimated at 15%.

Qualifications

  • Bachelor’s degree
  • At least 3 years of work experience with office administrative support and/or meeting/conference support, preferably in a nonprofit or academic setting.
  • Direct experience managing program logistics preferred
  • Excellent computer skills, particularly with Microsoft Office Suite; knowledge of Raiser’s Edge/Luminate Online, Proposal Central and/or Altmetric a plus but not required.
  • Excellent oral and written communication skills; excellent interpersonal skills.
  • Strong time management and organizational skills; demonstrated ability to work on multiple long-term and recurring projects simultaneously.
  • Ability to work collaboratively with coworkers across LRF departments and provide support to senior staff and organization leadership as requested.
  • People who are immune compromised, including people in active treatment for lymphoma and chronic lymphocytic leukemia, are more likely to become sick with COVID-19 or be sick for a longer time period; to keep everyone as healthy and safe as possible, staff must be vaccinated against Covid-19.
