Job Summary/Description
Under minimum supervision, this position provides clerical, office management, and administrative support to the Offices of Student Research and Sponsored Projects and the University Innovation Hub. Working closely with the Directors and Dean, this position is responsible for the development and implementation of events; communication with stakeholders; monitoring budgets; and contract/license management. This position works with professional and administrative staff, faculty, students, and the larger community.
Typical Duties/Job Duties
  1. Manages events for the Office of Sponsored Projects (OSP), Innovation Hub (IH), and Student Research in coordination with internal and external constituents; Coordinates event logistics with internal staff and maintains information about events; assembles event materials and documents. Schedules meetings and appointments for the Directors and Dean. Records detailed minutes and observations at meetings, appointments, and events.
  2. Assists in monitoring annual budgets for the OSP, IH, and Student Research. Acquires cost estimates, prepares purchase requisitions, maintains records of expenses, completes budget transfers, and reconciles with monthly budget statements; apprises the Directors and Dean of account balances; monitors and reports on budgets and expenditure rates for internal grants and provides monthly reports.
  3. Assists with the management of deadlines for proposal submissions and reporting, including sending reminders to faculty, staff, and/or students. Prepares routine administrative forms; updates webpages and online documents; monitors compliance requirements and sends reminders.
  4. Assists with the preparation of OSP, IH, and Student Research promotional materials and electronic communications; and aids the Directors and Dean with travel arrangements, authorizations, and vouchers.
  5. Greets all visitors to the office in a professional manner; routes telephone calls and takes messages; composes routine correspondence and proofreads documents to ensure accuracy, clarity, and consistency. Maintains OSP, IH, and Student Research files and ensures adherence to records retention, confidentiality, and related University policies; receives and logs compliance protocols and reports, internal and external grant proposals/awards, contracts, and other documents. Keeps records of institutional research activity, including publications, fellowships, and internships.
  6. Attends training, seminars and other meetings as needed.
  7. Performs other duties as necessary and assigned.

Knowledge, Skills and Abilities
  • Knowledge of word processing, spreadsheet applications, OnBase, Banner, other software; basic business processes such as purchasing, contracting, and travel reimbursement; basic knowledge of federal and state granting agency rules and regulations; basic budgeting principles and practices basic administrative and general office procedures and practices; applicable University policies and procedures. Experience and involvement with event planning is preferable
  • Excellent oral and written communication skills; strong observation skills; skilled in customer service and teamwork; critical thinking and analytical skills; exceptional interpersonal relations; skilled in the operation of office equipment and software applications
  • Ability to work independently and as a member of a team; organize and complete tasks in a timely manner with attention to detail; perform mathematical calculations; communicate in a professional manner; effectively interact with a wide variety of persons; and multi-task different work activities or projects.

Minimum Qualifications
Bachelor's degree or equivalent experience is required
Preferred Qualifications
Five years or more of diversified office management experience. Education beyond the Bachelor's degree.
