Description
Want to work with a friendly and fast-paced team to deliver excellent customer service and who wants to be actively engaged in the delivery of recreation programs and services?
If so, the Town of Corte Madera is currently recruiting for Recreation Assistants to work in the Parks and Recreation Department. Recreation Assistants may be assigned to work reception and general administrative/clerical support duties at the front desk in the Community Center or may be assigned to work with staff and children in the Town's Children's Center. There are 3 current vacancies and plans to hire additional staff for summer recreation programs.
DEFINITION
Under general supervision, to perform a variety of clerical tasks in the Parks and Recreation Department main office which includes receptionist duties, customer service, program registration, record keeping, data entry, filing and may include support of special events, youth programs and other related work as required.
This is an entry level classification that requires limited time on the job before an incumbent is capable of functioning at the full journey level. Initially, assignments are limited in scope and under more direct supervision. As experience accrues, the incumbent becomes able to independently perform the full range of duties associated with this level. After a period of time on the job, positions at this level frequently work outside the immediate proximity of a supervisor.
This position is not responsible for the direct supervision of other Department staff but may provide direction to other staff during a program and/or activity. May exercise functional supervision of volunteer staff.
Examples of Duties
When assigned to the front desk in the Community Center, the Recreation Assistant will perform a variety of clerical tasks in the Parks and Recreation Department's main office which include receptionist duties, customer service, program registration, record keeping, data entry, filing, and may include support of special events or projects.
When assigned to the Child Care Center, the Recreation Assistant will perform a variety of tasks to support the Parks and Recreation Department's child care program and/or summer camp program including working directly with youth participants, planning activities, and providing customer service. Responsibilities may include some clerical duties like program registration, record keeping, data entry, filing, and support of Department special events.
General Job Duties and Responsibilities:
  • Act as receptionist and greets and screens visitors. Provide information regarding Department and/or Town activities and functions.
  • Perform office support activities such as: opening and closing the building for programs, events and general hours of operation.
  • Answer general department phone line and answer question or forward to other departmental staff.
  • Answer general email messages and/or forward them to appropriate department staff.
  • Distribute mail, process outgoing mail.
  • Process program registrations through recreation software system and trouble shoot client issues. Prepare reports, print reports for contract instructors and renters.
  • Assist facility renters with booking reservations.
  • Establish and maintain office files. Research and compile information related to building use, program participation, and other special projects as assigned.
  • Assist in preparing facilities for programs and events.
  • Perform duties as a Designated Disaster Service Worker per California State law during natural and manmade disasters, as needed.
  • Perform related duties and responsibilities as assigned.

Typical Qualifications
Knowledge of:
  • Basic office practices and procedures including filing and the operation of standard office equipment.
  • Correct English language usage.
  • Basic arithmetic.

Skill to:
  • Provide excellent customer service.
  • Communicate clearly and effectively.
  • Take direction from a variety of upper-level staff.
  • Work in a safe manner, following Town safety practices and procedures.

Ability to:
  • Work collaboratively with diverse community members and Town staff.
  • Develop and maintain effective working relationships with those contacted in the course of daily work.
  • Understand and carry out oral and written instructions.
  • Lift and carry at least twenty (20) pounds.
  • Interpret and apply rules, regulations and health and safety standards.
  • Respond to requests and inquiries from the participants, parents, other staff and general public.
  • Exercise good judgment, flexibility, creativity, and sensitivity in response to changing situations and needs.
  • Maintain attention to detail despite interruptions.
  • Maintain a flexible work schedule based on Departmental requirements.

Experience and Training Guidelines: Any combination equivalent to experience and training that would provide the required knowledge, skills, and abilities would be qualifying. A typical way to obtain the knowledge, skills, and abilities would be:
Experience: Some experience in customer service is desirable. Experience in the field of Recreation is helpful.
Training: Completion of high school, or equivalent (GED).
Supplemental Information
Essential duties require the following physical skills and work environment:
Ability to exert a small to moderate amount of physical effort involving moving from one area of the park or community center to another; requires sufficient hand/eye coordination to perform semi-skilled repetitive movements, such as data entry, and/or use of calculators; to exert moderate amount of physical effort involving lifting and moving of recreation equipment and participating in recreational activities. Ability to lift, carry, push, and pull up to twenty (20) pounds frequently. Ability to stand, sit, squat, kneel, and walk on hard or uneven surfaces on a regular basis. Ability to work indoors on a regular basis and outdoors occasionally; exposed to wind, rain, sun and other changes in climate while working outdoors.
