Job Summary


Performs work recording, classifying, filing and retrieving police records and information, compiling crime statistics for contract cities and validations of stolen property, maintaining files and records, and related work. Types reports and aides in sharing necessary work product to Chisago County Attorney’s Office for prosecuting cases. Also processes firearm permits to include permit to purchase, permit to carry, renewal permits, fingerprinting and other related duties. Work is performed under the moderate supervision of the Administrative Captain.

ESSENTIAL DUTIES AND RESPONSIBILITIES


Essential Functions

  • Posts daily reports, formal complaints, and citations and their disposition in the appropriate logbook and/or master index; makes copies; submits forms to County Attorney and/or Court Administrator as required; enters information on the computer system; files information.
  • Processes handgun, liquor, adoption, and water permit applications; checks for criminal history and welfare status; submits to appropriate supervisor for approval; types and mails.
  • Responds to a variety of general questions from the public, insurance agents, armed forces representatives, attorneys, and other affected parties; provides copies of police reports and information from computer data banks to authorized personnel; receives stolen or found property; takes telephone messages for police administration and officers.
  • Processes insurance claims for submission to carrier.
  • Modifies complaints to reflect status changes; enters on the computer.
  • Processes validations on hot files entered into the state and/or national computer bank, updates information.
  • Removes information from files and indexes; destroys files as appropriate.
  • Mails driver’s licenses back to the State for revocation, suspension, or cancellation.
  • Organizes press releases for distribution; distributes press releases to radio stations.
  • Assists in the Communication Center during emergencies; answers phones; types.
  • Prepares Civil Process papers and related legal documents.
  • Reviews to ensure that all the necessary information is complete.
  • Prepares affidavits after service of legal papers and bills for fees and mileage.
  • Accepts and records all payments for Civil Process, returning original papers and affidavits to attorney.
  • Performs secretarial duties for the Civil Process Officer.
  • Miscellaneous civil filing.
  • Assists in the day-to-day banking business of the Sheriff’s Department.
  • Transcribes dictated reports by licensed staff and shares case information with the Chisago County Attorney’s Office to assist in prosecuting cases.
  • Assists as needed in other areas of the Sheriff’s Office.

High School diploma or GED and moderate experience, or a combination of equivalent education and experience.

    • Knowledge of the Criminal Justice Reporting System and other federal, state, and local law enforcement computer databases and related statutory and operational requirements.
    • Knowledge of Office practices and procedures.
    • Knowledge of grammar, sentence structure, punctuation, and spelling.
    • Knowledge of data privacy laws.
    • Knowledge of the Department’s policies and procedures.
    • Skill in the operation of a variety of office machines, including a computer terminal, printer, typewriter, calculator, and other office related equipment.
    • Ability to type 40 wpm accurately.
    • Ability to communicate tactfully and effectively with a wide variety of people, both in person and via the telephone.
    • Ability to work with alphabetical and numerical filing systems.
    • Ability to perform work that requires close attention to detail.
    • Good written and oral communication skills.
