We are hiring a Receptionist/Office Assistant to support the organization by providing outstanding service to our valued clients and internal team. We are looking to add someone with experience in a professional environment who has very strong interpersonal and multitasking skills, as well as a great attitude and team player mindset. There is room for growth within this role - the ideal candidate will work with our Account Administrator team and take on admin tasks over time. This is a fully in-person role with general 9-5 hours, though occasionally some hours may be needed outside of that time frame depending on client meetings.
Key Responsibilities:
- Answer and direct phone calls in a polite and friendly manner
- Greet visitors and direct them accordingly
- Open, sort, and distribute incoming mail and process outgoing mail; receive deliveries
- Coordinate and schedule meetings, including ordering/setting up/clearing food
- Coordinate travel – flights, hotels, restaurant reservations, etc.
- Make deposits at the bank
- Plan/coordinate events for staff (birthday celebrations, luncheons, holiday party, etc.)
- Manage inventory of office supplies and restock as needed
- Keep office organized and tidy – arrange snacks, clear leftover food, clean espresso machine, load/empty dishwasher, wipe down counters etc.
- Provide support to all partners and employees as needed
- Assist Portfolio Administrators with monthly and quarterly tasks over time
Qualifications/Experience:
- Previous experience as a receptionist or administrative assistant preferred
- Familiarity with finance or investment management is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Zoom/Teams
- Customer service-oriented mindset; team player willing to pitch in with a positive attitude
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to multitask and prioritize tasks effectively
