We are looking for  a receptionist of our  Waldorf AstoriaPompano Beach Sales Gallery.  

Responsibilities:

1. Greeting and welcoming visitors: Create a friendly and professional atmosphere by warmly greeting all visitors and potential clients as they enter the sales gallery.
2. Scheduling appointments: Manage and coordinate appointments for clients to view properties or meet with in-house sales agents.
3. Managing phone calls: Handle incoming phone calls, direct calls to the appropriate personnel, and take messages as necessary.
4. Managing emails: Respond to email inquiries promptly and professionally, ensuring that all inquiries are addressed effectively.
5. Maintaining the reception area: Keep the front desk area clean, organized, and visually appealing to enhance the overall experience of visitors.
6. Coordinating with real estate agents: Communicate with real estate agents to ensure they are aware of scheduled appointments and any specific client needs.
7. Collecting client information: Maintain a database of potential clients, their contact details, preferences, and property requirements.
8. Handling administrative tasks: Assist with general administrative duties, such as filing, data entry, and preparing reports as needed.
9. Maintain marketing collateral inventory: Coordinate efforts to keep marketing materials, brochures, and property information up to date and readily available for clients. This also includes updating the inventory count for all items.
10. Resolving customer concerns: Address client inquiries, complaints, or issues professionally and promptly, or escalate them to the appropriate department.
11. Following security protocols: Monitor access to the sales gallery and ensure the safety and security of the premises and its occupants.
12. Prepare FedEx shipping labels for any collateral or property documents to be sent to prospective buyers.
