Summary: The Receptionist will be the first point of contact for the Orlando office. The duties include offering administrative support across the organization, welcoming and greeting guests and coordinating the front-desk activities, including distributing correspondence and redirecting phone calls.
Essential Job Functions:
- Answer, screen and forward incoming phone calls
- Provide basic and accurate information in-person and via phone/email
- Maintain attendance tracking for office personnel
- Assist with scheduling conference rooms for meetings
- Greet and welcome guests as soon as they arrive at the office, assist with parking validation, direct visitors to the appropriate person and office
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook)
- Responsible for communication with building security desk
- Ensure reception area and conference rooms are tidy and presentable, with all necessary stationery and material
- Receive and track daily mail/deliveries
- Assist Office Manager with coordinating runner activities as needed
- Assist secretarial staff, as needed, with various clerical projects
- Keep updated and maintain office records
- Assist with records management: manage records inventory, coordinate deliveries and pick-ups; use Vital Web to add, update, or close inventory; etc.
Necessary Knowledge, Skills and Abilities:
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
Educational and Experience Requirements:
- Proven work experience as a Receptionist, Front Office Representative or similar role
- High school degree; additional certification in Office Management is a plus
Work Environment and Physical Demands:
- In office position
- Ability to work extended hours when necessary.
- Normal office environment; no unusual physical demands.
