Location: Sunrise, FloridaAs a Receptionist you will be the first point of contact for all visitors as well as assist with mailroom duties when needed. Our receptionist will greet, welcome, and direct guests/vendors appropriately; notify company personnel of visitor arrival. Other job duties include completing mailroom tasks, answering emails, organizing files, and making copies.
Essential Duties
- Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries.
- Maintains security by following procedures; monitoring logbook; issuing visitor badges.
- Create company memos, maintain files, and organize documents.
- Assist in planning company events, meetings, luncheons, and employee team building activities including setup/breakdown.
- Separate, sort and stamp all mail inbound/outbound
- Receive incoming U.S. Post Office Mail, separate, sort, and stamp today's dates on all mail received. Once stamped, ensure timely delivery to each department.
- Pick shirts online from starquix purchase order and pick shirt orders for all store new hires and store personnel and keep inventory up to date on hand and online
- Order all supplies that are needed for each department within the corporate office (pens, paper, rubber bands, etc.)
- Sort and tray, rub or sack the mail for dispatch to the Postal Service
- Accept, process, and dispatch the mail according to Mail Services and the Postal Service's guidelines, goals, and deadline.
- Receive all corporate packages from warehouse including FedEx, Amazon, UPS, and independent retailers and deliver to appropriate departments/personnel
- Process/ Create FedEx shipping labels for the various departments (Accounts Payable, IT and Payroll)
- Other duties as assigned
Experience & Education
- Minimum of 3 years administrative support experience
- Ability to multitask in a fast-paced environment
- Good analytical and problem-solving skills
- Excellent time management/project skills with ability to set priorities
- Strong detail orientation and effective communication skills both verbal and written
- Highly organized individual needed to manage multiple projects running simultaneously
