DEFINITION
To answer and direct incoming switchboard calls; provide assistance to citizens and visitors: serve as central City Information Center; perform various confidential and complex clerical duties, i.e.: preparation of correspondence, documents and reports; maintain logs, records and files; records management tasks.
DISTINGUISHING CHARACTERISTICS
This class is distinguished from the general clerical classes by the more complex, responsible and sensitive duties related to functioning as the central Call Center for the City. Specifically, positions in this class should have one or more of the following characteristics:
Use judgment in the performance of job responsibilities and a thorough knowledge of technical information regarding the operation of a switchboard and the clerical management of the department's functions. The responsibility for insuring the timely processing of reports and organizing daily routine and work schedule without supervision.
SUPERVISION RECEIVED AND EXERCISED
Receives general supervision from the City Manager's Office Department Coordinator..
ESSENTIAL JOB FUNCTIONS
Duties may include, but are not limited to, the following:
- Serve as receptionist; operate switchboard; answer, direct and screen calls; assist callers and visitors.
- Research, compile, review and maintain data for various reports, projects and logs.
- Maintain and update the city directory of personnel, City-wide phone listing.
- Process and distribute mail, packages and deliveries. Support general mail administration and processing functions as required.
- Assist other departments in City Hall with administrative support tasks
- Maintain the marquee sign with messages from various departments
- Serves as the designated employee to lock the doors daily at 5pm and unlock at 8am.
- Perform related duties and special projects as assigned.
- Assist in knowledge of evens/meetings for the City to callers/visitors.
PHYSICAL REQUIREMENTS
For indefinite periods of time - mobility within an office environment; writing; walking; typing; twisting body; stooping; standing; squatting; sorting; sitting; seeing; filing; reading; decision making; lifting and carrying up to 20 pounds; reaching above shoulder level; using both hands for simple and firm grasping; clarity of hearing; communicating clearly and effectively, in person and by telephone; fine finger manipulation; operation of office equipment, computers, copiers, fax machines, and multi-line telephone.
QUALIFICATIONS
Knowledge of:
- Multi-line switchboard and telecommunication systems
- Current business software programs
- Current office/business practices, procedures, equipment and business correspondence
- Appropriate/Correct English usage and vocabulary.
- Pleasant, professional manner, telephone & customer service and skills.
Ability to:
- Answer and distribute voice communications on a high traffic switchboard.
- Type at a speed necessary for adequate job performance.
- Communicate clearly and concisely, both orally and in writing.
- Operate PC, fax machine and other common office equipment
TRAINING AND EXPERIENCE
One year of clerical, computer, and switchboard experience and a High School Diploma or GED. Bilingual helpful, but not required.
