Responsibilities:
- Answer the phones, triage calls to either handle or delegate the call to the appropriate staff member.
- Greet clients arriving to the facility, welcome them in and/or direct/ escort to the appropriate area of the facility.
- Supporting work of BES Doctor including but not limited to:
- Input data from excel and farm call tickets to make FileMaker headers, ensuring accurate spelling of horse names and all information and headers are made in appropriate FileMaker applications.
- Type dictations for doctors, ensuring correctness in spelling and written sentences accurately aligns with verbal language presented by the doctor.
- Tracking insurance claims, sending documents, as approved, to insurance companies; assisting to efficiently process claims.
- Perform sales work at the direction of the [sales coordinator and admin lead] including but not limited to:
- Radiograph report drafts & finals; creating accurate headers, tracking the status of all sales reports, sharing documents with clients when they are ready/ following sales processes.
- Uploading sales radiographs and video scopes to sale company's repository as directed by [sales coordinator]
- Creating Surgery Letters as requested by clients, following process for creating, receiving approval, finalizing, sharing with client, and uploading to repository as needed.
- Editing radiographs as directed by doctor's tech and/ or sales coordinator
- Collect payment info from clients while ensuring accurate records.
- Collect updated ownerships for BES doctors and maintain accurate ownership, boarding location, and appropriate notes in EzyVet.
- Complete billing for assigned doctor(s) including but not limited to:
- Entering field billing charges for doctor(s)
- Entering sales billing for doctors(s)
- Ensure doctor(s) billing is kept current
- Assist Billing Manager in maintaining cost and price of products in EzyVet
- Assist Billing Dept with packaging monthly statement run
