This is a 100% remote position.
This position is a key contributor on the Real Estate Services team for the American Red Cross (ARC). The specialist for the asset management system is responsible for the proper set up and management of requisitions and purchase orders for facilities management. The American Red Cross owns, leases and receives donated facilities of office, industrial, and retail types. This portfolio is over 10 million square feet and spans over 1,000 sites in the United States and its territories.
This position will be instrumental in establishing requisitions and purchase orders to manage maintenance, repairs and capital projects for facilities. By working with staff and volunteers in the field, this position will oversee a geographic area and support vendor management, purchasing and facilities accounting for facilities operations. The specialist will advance our facilities maintenance practices and the cost-effective maintenance of ARC facilities. The ideal candidate will have demonstrated experience in facilities management and overseeing purchasing.
  • Manages assigned geography for facilities maintenance and cost management
  • Supports site contacts and facilities managers to follow vendor management and facilities maintenance guidelines, including assigning correct trades/commodities and expense account coding
  • Creates, prepares and tracks expenses and purchase orders in various asset management and expense systems
  • Supports local facilities management with general guidance on critical actions; also provides direction to key job aids, training and reports to assist with daily functions
  • Contributes to guideline and policy adherence inside and outside of the department including understanding importance of data consistency
  • Performs other duties as assigned
Qualifications
  • Preferred Real Estate or Facility Management department experience
  • Experience in procurement systems, Maximo asset management and/or Coupa, a plus
  • Two-year college degree or equivalent combination of education and experience
  • Demonstrated experience and skills in administrative and organizational duties
  • Ability to use all Microsoft Suite products and possess intermediate MS Excel skills
  • Strong interpersonal skills, written and spoken communication, relationship building, cross-functional team support
  • Ability to effectively present information in concise and relevant terms for business decisions
PAY INFORMATION: The annual salary range for this position is $60,000 - $65,000. We do not offer an annual bonus for this role. Note that American Red Cross salaries are aligned to the specific geographic location in which the work is primarily performed. Other factors that may be used to determine your actual salary may include your specific skills, how many years of experience you have and comparison to other employees already in this role. **We will review specific salary information at the time of phone screening based upon your location & experience.**
