Real Estate Assistant / Office Manager

Seeking a full-time administrative assistant / office manager to support all tasks related to high volume
Real Estate business. The ideal candidate will be a highly motivated, self-starter, tech and social media
savvy, detail and task-oriented team player and able to produce high quality work under pressure on time.
General Requirements:
● Real estate experience or prior Real Estate transaction coordination -- KS license active and in good
standing is required; MO license is a bonus for this position.
● Must be deadline-oriented, organized and be able to work under pressure at times.
● Must have a can-do attitude and be able to "own" the transaction from contract to close.
● Must have the ability to write and speak clearly: Sending pre-set email communications as well as
writing specific communication for situations as needed; answer phone calls and set up appointments.
● Must be proficient in the use of the following programs like Outlook, MS OneDrive, MS Word, MS Excel,
Dotloop, Multiple Listing Service interface; proficiency in the following programs a PLUS and willingness
to learn a must: BrokerBay, ShowingTime Showcase, Follow-up Boss CRM, Canva, Zillow Systems
● Must have a familiarity and be comfortable with technology in general.
● Must be able to navigate MLS system to search for properties, set up clients, create custom searches,
send properties to clients, input listing information, manage current listings and status changes.
● Familiarity with Heartland MLS a must and Lawrence Board of Realtors a bonus.
● Must be able to prepare for showings, logically map housing tours, and create Showing Packets.
● Must be able to prepare listing presentations with subject property and suitable comps.
● Must have great time management skills; follow up on leads; track production; create and manage
marketing plans and post to social media.
● Must be able to dress business casual when in the office.
● Must be organized and quick to learn.
● Must be process and systems oriented, and deadline driven.
● Must be available to work Monday through Friday, 8:30am to 5:30pm, and occasionally be available
outside of those hours.
Transaction Coordinator:
Includes establishing contact and rapport with our clients under contract to purchase or sell a home, as
well as the Realtors involved in the transaction, the Title Company, and the Lender. You will coordinate
communications between all parties for a smooth closing experience. The goal is for you to position
yourself as the point of contact for our clients and other parties involved in the transaction, providing a
streamlined and seamless closing experience.
Inside sales:
Answer leads calls, verify their needs, set appointments, assist with follow-up.
To be successful and thrive in this position, you will need to be a fast learner, have strong attention to
detail, be able to follow processes and systems set in place (or create new ones) and take pride in
problem solving under pressure.
