Job Summary:
Responsible for documenting and coding the packing slips and invoices to the proper purchase orders and to send approved invoices to the Accounting Department. Assist the Purchasing Dept. with any Data Entry needs.
Job Duties:
Enter data from source documents into computer using keyboard or scanning device. Compare data entered with source documents. Review packing slips and verify quantity received against quantity ordered according to the purchase orders. Identify any discrepancies to the Buyer. Enter data into computer and file documentation in accordance with Company policies and procedures. Verify vendor invoice(s) against purchase order(s) and packing slip(s). Identify any discrepancies to the Buyer. Document the hull number and job number as applicable on the invoice(s), attach a copy to the purchase order and send the original invoice to the Accounting Dept. for payment. File completed purchase orders in the Closed Purchasing Order file and return open purchase orders to the Open Purchasing Order file. Regular attendance at work and the ability to work flexible hours, including overtime, weekends, and holidays. Perform other duties as assigned.
Job Requirements
Qualifications:
High school diploma or GED equivalent with specialized course work in general office practices such as typing, filing, and bookkeeping, plus one or more years’ experience in an administrative/clerical position desired. An equivalent combination of education and experience may be considered. Six month’s Purchasing Department experience desired.
Intermediate level Microsoft Word, Excel, and Outlook Express. Ability to read and interpret documents such as general business periodicals, professional documents, or governmental regulations. Ability to effectively present information and respond to questions from employees, vendors, and management. Ability to add, subtract, multiply, and divide in all units of measure.
