Job Summary
Performs some general office duties such as receives visitors, maintains departmental files, sorts and routes department mail, expedites department purchase orders, and conducts special projects as assigned. This position will also support Warehouse activities by filling in for Material Handlers as necessary. The majority of the position entails purchasing, and assisting purchasing agents; procures supplies, equipment, and services for the hospital in an efficient and economical manner. The position also purchases stock and non-stock items at favorable prices consistent with quality, quantity, and specification requirements; utilizes good purchasing practices, ethical judgments, and group purchasing contracts. Daily work habits and contacts must reflect Mission Statement and philosophy of Memorial Hospital. The position provides Materials Management services to all customers regardless of age (from birth to maturity), sex or national origin.
Qualification
Education:
High school graduate or equivalent required.
Technical school courses or Business school courses helpful. Must be able to perform basic office functions and have basic personal computer knowledge.
Experience:
Experience:
Exposure to general purchasing duties preferred. Six to nine months experience preferred.
Job Knowledge, Skills and Abilities:
Ability to type and use general office equipment required. Knowledge of computer systems required. Ability to interrelate to individuals of various backgrounds and professional levels required. Must have pleasant personality and be able to react positively to demanding situations.
Performance Requirements
General office duties of department includes filing Purchase Orders, Purchase Order Receipts processing, processing orders and follow up on orders as needed. Position will place orders as necessary to aid Purchasing Agents. Purchase of hospital supplies and equipment (except pharmaceuticals and food). Position works with departments in establishing product specifications and vendor selection.
Physical Demands:
Primarily an office type job requiring periods of sustained attention and concentration. Position requires some occasional lifting of medium to heavy weights when helping out in warehouse and receiving areas. Must be able to lift 50 lbs without restriction and raise arms over head. Some walking to other departments is required for communication and distribution.
Special Demands:
Diplomatic and tactful in dealing with visitors and Hospital personnel. Ability to learn purchasing and material handler functions to act as backup when needed. Valid drivers license and transportation required.
Representative Functions
Practices the core values of Memorial Hospital and Health Care Center. (Ongoing)
1. Performs Department Office Work. (10%)
- Makes Daily runs to Hospital to deliver and pick up mail.
- Follows up on Purchase Order back orders and late deliveries.
- Secures copier copy counts and submits to vendor to process for payment.
- Takes minutes for monthly department meeting
2. Maintains Department Files (5%)
- Files Purchase Orders.
- Matches Receiving information and files completed PO's.
- Maintains GPO binders.
- Maintains Contract Files
3. Purchasing (50%)
- Works with departments on product needs and selections.
- Works on specific projects with departments to review products used.
- Helps set up evaluations
- Makes price comparisons between current and new products.
4. Processes orders (20%)
- Enters orders into Meditech system
- Works with vendors to process orders
- Coordinate all aspects of purchase with the ordering department
5. Serve as backup to the Purchasing agents when they are out of office (5%)
- process the requisitions for the Purchasing agents when they are out.
6. Warehouse (5 %)
-fill in at warehouse if/when needed as a Material Handler
7. Capital Equipment Ordering
Purchase capital equipment (5 %)
- Works with department to determine product specifications.
- Compares products to help determine matching of specifications.
- Negotiates with vendors for lowest price, best terms, and delivery.
- Prepares spreadsheet for review.
- Documents savings.
