Job description

As an integral part of a team, the Assistant Purchasing Manager is responsible for continuously looking for ways to improve each guest's experience from providing exceptional guest service to obtaining bids and choosing suppliers to provide the Hotel with all required goods and services for daily operations. The Assistant Purchasing Manager will verify that all ordered items are received and of expected quality. Assists with daily operations in the absence of the Purchasing Manager.
ESSENTIAL FUNCTIONS

  1. Greet and acknowledge all arriving/departing guests.
  2. Maintain cleanliness, sanitation, and organization of work areas at all times.
  3. Maintain complete knowledge of:
    1. Purchasing system and manual procedures.
    2. Purchasing vocabulary.
    3. Company standard specifications.
    4. Fifo- proper rotation of all perishable food and beverage items.
    5. Food and Beverage products.
    6. Health Department rules and regulations.
  4. Collaborate with Storeroom Manager to help improve the flow of goods being received and issued..
  5. Ensure all vendors meet company standards to be considered for use.
  6. Establish relationships with vendors.
  7. Check prices.
  8. Receive department's purchase requisitions.
  9. Write purchase requisitions.
  10. Determine department's needs.
  11. Process and review weekly order lists.
  12. Obtain bids.
  13. Inform vendors of hotel terms and conditions.
  14. Receive authorization before ordering, if applicable.
  15. Maintain and distribute order sheets daily.
  16. Process emergency orders.
  17. Inform departments of supply shortages.
  18. Process stationary orders.
  19. Log purchase orders.
  20. Expedite open purchase orders to monitor efficient delivery time and costs.
  21. Maintain purchase order files.
  22. Complete capital expenditures form for any item with a value of $5, 0 0 0 . 0 0 or more
  23. Check goods received.
  24. Assist in handling discrepancies, projects, improvements.
  25. Review daily receiving reports.
  26. Research new products.
  27. Assign par levels.
  28. Ensure each item in storeroom is listed on a bin card.
  29. Monitor product movement and stock level.
  30. Check loading dock.
  31. Performs various financial operations including:
    1. Review all credit slips and vouchers.
    2. Assist with monthly inventories.
    3. Maintain inventory records for all storeroom stock.
    4. Process and review food and beverage invoices.
    5. Process and review non-food and beverage invoices.
  32. Perform all other duties as may be required or assigned.

SUPERVISORY REQUIREMENTS
Reports To:Purchasing Manager
Supervises: Purchasing Coordinator
EDUCATION/EXPERIENCE
  • College Degree
  • High school diploma or equivalent vocational training certificate.
  • Any combination of education and experience which would provide the necessary knowledge, skills, and abilities to meet the minimum qualifications to perform the essential functions of this position.

LICENSES/CERTIFICATIONS
  • Tuberculosis (TB) Clearance.

KNOWLEDGE, SKILLS, & ABILITIES
  • Ability to anticipate guest needs; respond promptly and acknowledge all guests.
  • Ability to maintain positive guest relations at all times.
  • Must be highly organized, detail-oriented and have the ability to multi-task.
  • Ability to work under time constraints.
  • Compute basic mathematical calculations (add, subtract, multiply and divide numbers).

PHYSICAL DEMANDS

  • Ability to lift/transport up to 50 lbs.
  • Ability to stand/walk for up to 9 hours throughout work shift.
  • Maintain stationary position for up to 10 hours throughout work shift.
  • Ability to work in refrigerated and freezer walk in areas.
  • High interaction and involvement with culinary team.
  • Ability to walk up 3 flights of stairs.
  • Ability to work while wearing a company issued facial mask.

WORK ENVIRONMENT
  • Indoor, air conditioned environment.
  • Back of the house kitchen areas.
  • Outdoors, exposure to hot, humid weather conditions.
  • Variable noise levels.
  • Constant interruptions
