Purchasing Assistant
We are:
Olivenation is a growing online seller of food ingredients and kitchen related items. We sell to small businesses such as bakeries and breweries as well as to thousands of home bakers and cooks. We work out of our warehouse facilities in Avon, MA. We manage multiple brands (Olivenation, Fancy Flours).
Job Summary:
The inventory specialist is responsible for staying on top of stock control by ordering products at the right time. In this role, you will be managing 90+ vendors and constantly balancing the need to have adequate inventory in our warehouse, minimizing freight expenses while minimizing excess stock.
Responsibilities:
Constantly monitor inventory levels as well as sales by product
· Be educated and up-to-date on supplier lead times
· Be alert for exceptions such as delays with freight en-route, damages, backorders and respond before the problems become critical.
· Assist the warehouse staff in maintaining accurate inventory information in the warehouse systems as needed.
Manage Purchase Orders.
· Issue purchase orders in a timely manner taking into account days of inventory on hand & vendor lead times.
· Balance the cost of freight vs. too much inventory.
· Assist with drop shipments as needed.
· Ensure the smooth flow of goods from supplier to recording purchases in our warehouse by providing clarity and accurate information.
· Accurately setup new products in the warehouse system to minimize confusion by our warehouse staff as well as by the vendor.
· Maintain cordial relationships with vendors such that they provide products as well as documents and other visual content in a timely manner.
· Track invoices and payments making sure that they match the inventory received.
Manage Supplier Relations:
· Maintain healthy supplier relationships
· Be aware of challenges being faced by suppliers with regards to product we buy.
· Work with suppliers to ensure smooth and timely flow of products
· Maintain relationships with vendors and alert marketing team of potential supply chain issues such as extended lead time items or discontinued items
· Resolve accounting issues as required – pay on time.
Maintain inventory KPIs.
· Provide weekly, monthly reporting of inventory performance, vendor performance etc. as needed.
· Compile and track supplier information, performance metrics, pricing data
Knowledge and Skills needed

· Good Excel skills
· Professional email writing ability.
· Easily adapts to various ERP software systems.
Education & Experience Required:
· A bachelor’s degree
· Previous experience is NOT required.
