Job description

Spartan Surfaces is seeking a Purchasing & Inventory Administrator to join our growing Bel Air team. If you're passionate about supporting daily inventory management and purchasing activities and thrive in a dynamic environment, we'd like to meet you.

What You'll Be Doing:

  • Support Operations: Build and process stock purchase orders, ensuring smooth daily operations within our inventory management and procurement processes.
  • Collaborate and Coordinate: Work closely with our Distribution team to place accurate purchase orders and update purchase orders in our Dancik system for easy reference by the team.
  • Manage Data: Assist in reviewing Inventory Reports, Reorder Reports, and Backorder ETAs. Receive materials into the system and allocate them to orders as necessary.
  • Enhance Efficiency: Develop relationships with suppliers to ensure a smooth workflow. Handle the list receipting of materials and RMA Approvals, reconcile cycle counts, and make necessary adjustments.
  • General Support: Perform stock checks and manage email communications to support the team. Embrace all other duties as assigned.

  • A knack for meticulous attention to detail and accuracy in data entry and record-keeping.
  • Strong organizational and time management skills, with a talent for prioritizing tasks effectively.
  • Ability to work collaboratively and independently in a team environment with minimal supervision.
  • Proficiency in order processing with DocuWare, Excel, and Outlook systems.
  • A willingness to embrace additional responsibilities as assigned, showing flexibility and adaptability.

Physical Requirements:

The Purchasing & Inventory Administrator role, while mainly office-based, includes some physical demands to ensure the smooth operation of our inventory and purchasing activities. Candidates should be able to meet the following physical requirements:

  • Mobility: Ability to move around the office and warehouse environments, including standing and walking for extended periods.
  • Lifting: Occasionally required to lift and move objects up to 25 pounds. Proper lifting techniques should be used to avoid injury.
  • Dexterity: Manual dexterity to operate office equipment, such as computers, phones, and file cabinets, and handling small inventory items when necessary.
  • Visual Acuity: Must be able to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to adjust focus, as needed, to work on computer screens or with printed materials.
  • Environmental: Ability to work in a warehouse environment where temperatures may vary, and exposure to noise from machinery may occur. Personal protective equipment will be provided as necessary.
