Job Description
Role Summary:
The Proposal Coordinator position provides support in the development of statements of qualifications, proposals, and brochures. The ideal candidate must have a proven ability to work efficiently in a fast-paced environment with strict deadlines as well as communicate and interact effectively with all levels of employees and external clients.
Responsibilities:
· Coordinate data compilation, editing, scheduling, document layout, QA/QC process with marketing team and technical staff to develop highly competitive, compliant SOQ documents
· Facilitate proposal milestone meetings
· Attend RFQ/RFP pre-submittal meetings
· Assist with research and gathering data from management team and technical staff
· Maintain workflow process and coordinate qualifications statements, presentations and marketing material requests
· Prepare qualifications statements for subconsultant submittals
· Assist with prime pursuit production and review as needed
· Establish priorities, coordinate and schedule target dates to ensure projects (internally and externally) are completed on time
· Read and analyze RFQ/RFPs and edit proposal content for readability, consistency, clarity and compliance with requirements
· Research, write and update information including project descriptions, resumes, and other qualification materials
· Participate in the continual improvement and/or modification of marketing material
· Complete necessary administrative forms
· Assist technical staff in developing technical presentations and materials for projects, organizations, etc.
· Provides support/interaction among all marketing /BD team members
· Sustains a high level of organization & creativity, strong problem-solving skills and all-around team focus
Qualifications:
· 3-5 years' experience in Civil Engineering, Architecture, or Construction Industry
· Bachelor’s degree in English, Communications, Marketing, or related field
· Proficient in the use of Adobe InDesign, Adobe Acrobat, MS Word, and MS PowerPoint is preferred
· Strong work ethic, extremely detail-oriented, and organized
· Experience in managing multiple, high priority tasks under strict deadlines
· Demonstrated ability to work independently and prioritize workload
· Strong writing and editing skills (including grammar and punctuation)
· Willingness to work additional hours if deadline demands
