Position: Project Management Coordinator

Key Responsibilities:
- Communicate and document project statuses with HBI leadership, customers, and foremen.
- Collaborate with the Material Coordinator to ensure proper materials are available for projects.
- Obtain correct permits from local municipalities.
- Schedule locates with Digger’s Hotline, One Call, and Miss Digs.
- Create traffic control plans and schedule Wisconsin lane closures.
- Ensure accurate understanding and utilization of customer units and job blueprints.
- Compile and distribute project documents for HBI leadership and foremen, including telephone blueprints, maps, permits, and other instructions/documents.
- Direct construction crews on daily project priorities.
- Coordinate projects in advance to ensure a consistent workload for crews.
- Assemble a spreadsheet of emergency contacts for all areas where crews are working.
- Maintain a professional demeanor with HBI staff and customers.
- Assist other entry level project managers in the department with similar tasks as needed.
- Take 24-hour emergency phone duty, rotated through the department in 1-week increments.
- Undertake additional projects/tasks as directed by HBI leadership.
Qualifications:
- Excellent written and verbal communication skills.
- Intermediate experience with MS Excel.
- Ability to perform multiple tasks with accuracy, organization, and attention to detail.
- Valid, insurance-acceptable driver’s license.
- 1-2 years of office experience, with customer service experience preferred.
- Ability to work in a fast-paced environment.

- Accurately read maps.
- Work with and around people, and independently when required.
- Learn new procedures quickly.
- Follow verbal and written instructions accurately.
- Handle multiple tasks and unexpected changes on the job with accuracy.
- Maintain a pleasant and even-tempered demeanor when dealing with people.
- Flexibility with working hours.
Environmental Conditions of the Workplace:
- Work indoors in a temperature-controlled office environment.
- Run miscellaneous errands delivering prints, maps, or other items to designated outside locations.
Additional Duties:
- Serve as a backup to HR Administrative Assistant, answering phones and taking detailed messages.
- Retrieve voicemail messages from the answering machine in the morning.

Job Type: Full-time
Pay: $24.00 - $26.00 per hour
Expected hours: No less than 40 per week
