Dermatology Project Coordinator/Analyst
Location: Lake County - Hybrid Position: Onsite M, T, Thur; Remote is Wed and Fri
Contract: 1 year - based on performance and business needs
A dedicated Project Coordinator/analyst to serve as the marketing/brand liaison between the field, marketing and logistics vendor as it relates to Dermatology Peer-to-Peer Marketing.
Key responsibilities will include:
Program and Speaker Analytics:
Work with the logistics vendors, CA&O and the marketing team to analyze raw data in order to develop and create weekly reporting that will include, but not be limited to: speaker utilization, program attendance, program cancellations, salesforce data for Field and Marketing leadership team on a weekly basis.
Speaker Contracting:
Point of Contact (POC) with logistics vendor in the processing to onboard or re-contract a speaker. Responsibilities include acceptance of the candidate's CV, monitoring of rates for appropriate FMV (fair market value), collaboration with logistics vendor and compliance department to execute contracts and rate re-evaluation requests as needed and manually submit into system for approvals as needed.
Communicate with field regarding status of bureau and follow up
Field Liaison:
POC for the field regarding weekly P2P communications, speaker recommendations, speaker status, speaker caps, and any questions regarding overall Peer-to-Peer programming processes and requirements. edited
Speaker Liaison:
POC for the field and/or logistics vendor for transactional issues, i.e., contracting, travel logistics, etc. Occasional communication with speakers may be necessary on behalf of the brand team for questions outside the scope of logistics vendor or field responsibilities.
Logistics Vendor Liaison:
Work closely with the logistics vendor as the POC for speaker communications, speaker budgets / speaker FFS Cap Management, Speaker Handler Lists, Speaker Portal Updates, Speaker Contracting, Speaker Bureau Management, Submissions for Presentation Detail Approvals, review of weekly program reports and program management.
Program Materials:
Manage speaker program associated print inventories with vendor partners. Review approval extension list from promotional coordinator, consult with marketing and update deck status. Partner to develop and route ancillary program materials (Product Theater invites, schedules, Field Materials etc.).
Commercial Operations / Field Operations Liaison:
Work directly with Field Operations to help align marketing driven initiatives for Speaker Programs operational capabilities and compliance guardrails. Partner with Field Ops when necessary to manage logistic vendor support and project priorities, identify new improvements and define processes within the digital survey team.
Brand Liaison:
Assist Marketing in providing updates to the field regarding program activities, speaker engagements, speaker program feedback/analytics, speaker utilization and compliance status. Collaborate with Area Marketing Managers as needed for management of reserving speaker programs, speaker caps, contract status and fair market value.
Technical requirements:
High level of proficiency at Excel at an intermediate-high level (VLOOKUP, INDEX/MATCH, PivotTables/PivotCharts, customize graphs with raw data, creating a weekly dashboard).
Attendance at internal meetings, including National Sales Meetings, Speaker Training, and brand tactical planning meetings as necessary.
Education: Bachelors desired, any major
