The Programs Assistant provides executive level management administrative support to KARM's Senor Directors of Men's Ministries and Women's Ministries. The Programs Assistant conducts research, handles information requests, and performs clerical functions. The responsibilities of this role extend beyond that of an assistant or secretary and often encompass organizational and administrative functions. The Program's Assistant works independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matter with discretion.
Duties
- Coordinates the schedule of both Senior Directors, prioritizing functions and appointments, ensuring meetings, deadlines, presentations, and other duties of programs are carried out seamlessly.
- Arranges meetings, conferences, and travel, including coordinating flights, accommodations, and other itinerary specifics.
- Generates various reports, spreadsheets and charts, maintains databases, and compiling and/or writing departmental status reports.
- Assists planning events, facilitating communication, distributing information, drafting agendas and schedules for meetings.
- Maintains needed supplies for programs
- Drafts correspondence, speeches, presentations, announcements, reports, and/or policy manuals
- Work cooperatively within the programs framework to ensure seamless, effective ministry, service, and program delivery
Requirements
- Commitment to Christian faith required; spiritually mature
- Commitment to KARM's mission and agreement with our statement of faith and guiding values
- 3-5 years of experience or the equivalent of related coursework and experience
- Ability to manage complex and highly confidential information
- Comfortable working autonomously and across multiple tasks and reporting into different project working teams and staff members
- Computer literate and proficient with the ability to analyze data
- Knowledge of advanced MS office applications, including Word, Excel, and Outlook
- Excellent social skills, able to operate with diplomacy, tact, and empathy
- A high degree of personal organization and self-management
