Job Summary
Under the general direction of the Division Director, performs a variety of duties within a team environment and provides support and assistance to the manager and clients.

Primary Duties & Responsibilities
  • Maintain administrative workflow by studying methods, implementing cost reductions, and developing reporting procedures.
  • Create and revise systems and procedures by analyzing operating practices, studying utilization of micro-computer and software technologies, evaluating personnel and technological requirements, and implementing changes.
  • Assist manager in the recruitment, interviewing, and selection of new staff members.
  • Resolve administrative problems by analyzing information and identifying and communicating solutions.
  • Maintain rapport with other programs by researching and developing new services and methods and resolving problems.
  • Input relevant data into databases through a variety of data collection systems.
  • Create and provide information (e.g., flyers, applications, poverty guidelines) and education to program specific consumers, providers, and community partners.
  • Prepare and submit program specific forms and reports as needed by staff, supervisors, or directors.
  • Ensure providers and/or collaborating partners receive Public Health updates, recommendations, guidelines, and distribute materials as necessary.
  • Produce and mail correspondence to program specific clients and providers/partners as needed.
  • Track contractual service, creating reports as needed.
  • Maintain inventory and distribute medical/program-specific supplies.
  • Assist with grant research, development, and reporting.
  • Assist with Accreditation process.
  • Assist in ensuring confidential record retention.
  • Assist with document production including, but not limited to, grants, program reports, and policy and procedure manuals.
  • Lead in various projects.
  • FOIA Coordinator.
General Duties and Responsibilities
  • Participate in team and general staff meetings.
  • Participate in Public Health quality programs (e.g., Quality Improvement, Quality Assurance, Quality Control).
  • Participation in emergency exercises and training required.
  • Assess own needs for professional growth and participates in education that increases knowledge and skills in area of responsibilities.
  • Adhere to established policies and procedures and maintains client confidentiality.
  • Perform other duties as assigned.

Job Qualifications
  • Knowledge normally acquired through the completion of an Associate's Degree as well as completion of specialized training with an emphasis in computer applications.
  • One to three years of experience in Public Health preferred.
  • Strong Microsoft Office and data entry skills. Must become proficient in program-related software within 90-180 days contingent on the software.
  • Strong interpersonal and customer service skills.
  • Skills necessary to effectively manage a program assignment and daily operations.
  • Maintain program-specific required certifications (e.g., HAPIS certification to provide HIV counseling and testing), if applicable.
  • Ability to multi-task simultaneous projects requiring concentration and attention to detail with frequent distractions due to people or telephone calls.
  • A valid Michigan driver's license, an acceptable driving record, and a personal vehicle including proof of vehicle insurance are required.

  • Clinic/Office environment.
  • Travel may be required.
  • May have contact with infectious disease and exposure to bloodborne pathogens.
  • On-call availability to respond to emergencies (e.g., program-related and Public Health emergencies).
  • Extended work days (beyond 8 hours/day) and weekends or holidays may be required.
