Program Specialist 2 - Transitional Studies

Reports to: Associate Dean of Transitional Studies
Olympic College is seeking to hire a full-time classified Program Specialist 2 within our Transitional Studies department. The Program Specialist performs specialized tasks requiring knowledge and experiences specific to the Transitional Studies program. This position will have extensive involvement with students, staff, and the public in carrying out program activities, and coordinate, schedule, and monitor program activities to determine consistency with program goals. Responsibilities include but are not limited to; independently performing a variety of complex clerical and technical assignments, records management, report preparation, and purchasing for the program.
Essential Functions
  • Coordinate actions necessary to meet program goals;
  • Exercise independent judgment in interpreting and applying rules and regulations;
  • Perform and/or coordinate administrative support functions for the entire program, develop and establish procedures and standards, establish priorities and deadlines for the program;
  • Develop, modify, and/or maintain database management/office record keeping/filing systems;
  • Assist with collecting, monitoring, and maintaining student documentation and reporting using Washington Adult Basic Education Reporting System (WABERS) in accordance with state and federal requirements;
  • Serve as primary contact with program participants and faculty; provide information regarding program policies, procedures, and activities;
  • Prepare/maintain documents related to quarterly class scheduling, course outlines, faculty contracts, travel, invoices, and purchasing;
  • Take tenure meeting minutes, send reminders, and coordinate with faculty and staff on tenure relation activities;
  • Provide information and advice to students, staff, program participants, and/or the public regarding program content, policies, and activities, recommend alternative courses of action; promote the program on campus and with outside organizations;
  • Collect and monitor information on enrollments and data collection, as well as perform analysis and statistical reports regarding program operations;
  • Use word processing, spreadsheets, and or database software to develop and maintain records; Perform complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheet and database files, uploading and downloading from state database systems;
  • Devise, evaluate, and revise forms for internal use as required;
  • Compose, proofread, and produce direct mail letters, emails, fliers, and other promotional materials;
  • Coordinate and attend meetings and/ or conferences as a program representative;
  • Respond to inquiries regarding program components and program procedures and services;
  • Assist with monitoring and tracking of budget status in line with program activities, plans or priorities;
  • Assist in the preparation of grants and grant proposals;
  • Order, receive, and maintain inventory. Coordinate and conduct an annual inventory of curriculum materials;
  • May direct the work of student employees, and others;
  • Perform other related duties as assigned.

Qualifications
Minimum Qualifications
  • High school graduate or equivalent
  • And, two years of successful administrative, office, or related experience requiring proficiency in word processing, spreadsheets, and database management.

Desired Qualifications
  • Experience providing assistance to customers regarding inquiries, complaints, and problems.
  • Experience in a higher education setting.
  • Experience with PeopleSoft.

Additional Information
Terms of Employment
This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $42,444 - $56,676. Most classified positions will start their salary at Step A, when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union.
