Keeping Washington Clean and Evergreen

The Shorelands & Environmental Assistance (SEA) program within the Department of Ecology is looking to fill a Program Manager's Assistant (Administrative Assistant 5) position. This position will be located in our Headquarters Office in Lacey, WA. Upon hire, you must live within a commutable distance from the duty station.

As the Program Manager's Assistant, you will serve a critical role in the SEA program, and will provide connectivity across units and the administrative team. You will bring strong administrative and personal skills and outstanding communication skills. You are task oriented and embody DEIR principals in all aspects of your work. In this role, you are both a leader and a team player. You will be an active and engaged member of our Program Management Team, bringing solutions and proposals forward that improve SEA's service, deliverables and processes.

What makes this role unique?

The Shorelands and Environmental Assistance (SEA) program is a large, expansive program that houses the Washington Conservation Corp in addition to 200 staff. It is fast paced and forward thinking. SEA staff duties and responsibilities require excellent customer service, communication and collaboration skills. SEA staff lean in and look forward, bringing solutions that increase our ability to better serve constituents, the Agency, and one another.

What you will do:

  • Serve as principal confidential assistant to the SEA Program Manager with delegated authority and responsibility for administrative matters.
  • Serve as an active member of our Program Management Team, providing insight and support as needed.
  • Serve as office manager for SEA, providing guidance and oversight. Serve as Administrative Team lead, mentoring and facilitating communication and program needs with SEA administrative staff.
  • Serve as the program's HR Liaison for personnel actions, working with Employee Services/Human Resources. Monitor status of SEA program's HR Actions, evaluations, PMT's Leadership Training, and other critical personnel matters.
  • Supervise Forms and Records Analysts with a comprehensive understanding of records management in a formal capacity.
  • Assist the Agency and Program to further the goals of achieving a workplace where all employees contribute to a diverse, inclusive, equitable, and respectful work environment, where everyone can safely and fully express who they are while advancing their professional goals.

Required Qualifications:

Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time. We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked. Examples of the proration calculations are:
  • 30 hours worked per week for 20 months: (30/40) x 20 months = 15 months full-time equivalent
  • 20 hours worked per week for 12 months: (20/40) x 12 months = 6 months full-time equivalent
Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, education, and volunteer experience. See below for how you may qualify.

A total of six (6) years of experience and/or education as described below:

  • Professional experience in: clerical, secretarial, bookkeeping, accounting, or general administrative office work experience or supervisory experience
  • Education involving:Major study in business administration, public administration, environmental administration, or closely allied field

90-119 semester or 135-179 quarter credits.

3 years of experience

Combination 5

A Bachelor's Degree or higher.

2 years of experience

OR

One year of experience as an Administrative Assistant 4, at the Department of Ecology.

OR

Two years of experience as an Administrative Assistant 3, at the Department of Ecology.


Desired Qualifications:

  • Knowledge of State and local government agency organization, operations, and budgeting and administrative processes.
  • Demonstrated Leadership skills. Ability to effectively organize multiple assignments, sometimes of a complex nature or involving competing priorities, to produce work products that are accurate, thorough, and on time.
