The Program Manager of Intramural Activities & Outside Facilities is responsible for the development, implementation and administration of diverse and comprehensive campus Intramural Activities and the management of the Sports & Recreation Complex for the Activities & Recreation Center (ARC) Department. This position is responsible for the day-to-day operations of Intramural Activities including hiring, training and providing supervision to student staff. In addition, the position will respond to the changing needs and values of UW Bothell's and Cascadia College's historically marginalized and increasingly multicultural student population. This position promotes and facilitates effective communication and collaboration across the department, division, university and community partners.
DUTIES AND RESPONSIBILITIES
Program Development and Management
Plan, administer, and execute a comprehensive Intramural Activities (IMs) program; Create and implement the annual Intramural calendar that includes a diverse sport/event selection, registration, scheduling, game reporting, and championships. Coordinate, schedule, and conduct team captain meetings as needed.
Develop and implement accurate written records (manuals, etc.) that guide program operations and support compliance with program, departmental, university, and national guidelines; to include consistent application and revision of policies and procedures to include participant eligibility, sportsmanship, protests, and player conduct.
Recruits, hires, trains, supervises, and continually evaluate student staff; develop job responsibilities and expectations for each employee and provide the supervision to ensure employees are knowledgeable about equipment use, policies and procedures, officiating mechanics and rules, and safety requirements. Provide managerial and leadership experiences, and additionally create and promote professional development opportunities for student staff.
Ensure scheduling of adequate safety, game management, and supervisory personnel for IMs to include supervisors and officials; Prepare game fields as needed
Manage the web-based registration system. Monitor game forfeits and assess forfeit fees. Develop learning outcomes for all programs and conduct assessments to measure learning towards those goals. Prepare and submit monthly and annual statistical reports of the activities and events.
Respond to the changing needs and values of UW Bothell's and Cascadia College's historically marginalized and increasingly multicultural student population
Develop, assess, and revise learning outcomes for student staff and the program under the direction of the Director of the Activities & Recreation Center.
Actively communicate, market and manage all programs through print media, electronic media, social media, special events and other efforts as appropriate, including participation in new student orientation sessions and various tabling events; including managing and updating web pages and campus event calendars.
Assist with special events hosted by the department and be a strong liaison and partner for collaborative health and wellness programming across campus.
Administrative and Risk Management
Assists in coordinating the maintenance and repairs of outside facility spaces, support Sports & Recreation Complex scheduling and reservation requests.
Oversee all aspects of safety and welfare of IM participants and student staff, including sportsmanship and discipline issues; Responsible for risk management including the appropriate training of employees and users, assessing the condition of facilities and equipment within established parameters, designs and implements experiences for persons of all abilities, backgrounds, and disabilities.
Coordinate and administer a comprehensive risk management plan for IM staff, including conducting regular audits, ensuring programs and equipment are operating according to industry standards and best practices.
Educate and empower students and staff to improve risk management practices, including understanding and navigating departmental policies, institutional procedures, and protocols put in place to proactively mitigate risk.
Prepare, monitor, and reconcile annual budget, program and equipment purchases, partnership agreements, etc.; Responsible for ordering, maintaining, inventory, and secure storage of equipment and services related to program area.
Ensure programmatic data analytics and provide periodic participation and revenue reports.
Other duties as assigned
Participate as a member of the departmental emergency response team.
Assist in the overall evaluation of the Activities & Recreation Center.
Serve and participate on university committees as assigned.
Performs other duties as assigned.
MINIMUM REQUIREMENTS
Bachelor's degree in Sports Management, Student Development, Recreation, Athletic Administration, and/or related field of study.
Minimum of two years' experience in the administration of campus recreational programs with at least one year of experience in programming intramural sports leagues and tournaments or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS
Strong background in sports officiating with the ability to train and evaluate sports officials.
Detail oriented, highly organized individual who has the ability to multitask and the ability to deal with a variety of situations and people in a balanced way.
Knowledge and experience of sport leagues, rules, and their application.
Ability to work effectively in a multicultural environment.
DESIRED QUALIFICATIONS
Master's Degree in Recreation, Sports Management, Student Development, Athletic Administration, or related field within campus recreation
Experience managing staff and working in higher education.
Understanding of an alignment with the University, Divisional, and Departmental mission, vision, and values.
Current First Aid/CPR/AED instructor certification or obtain within 6 months of hire.
CONDITIONS OF EMPLOYMENT
A work schedule that fluctuates due to after-hours activities, meetings, and events is common.
The Program Manager is expected to attend major student activities and events held on campus and in the local community.
The Program Manager has regular and frequent contact with students, as well as frequent contact with faculty, staff, and administrators.
The position requires evening and weekend commitments throughout the year.
