Description:
This position is responsible for providing direct support for the coordination of activities and management of the day-to-day operations for the LINCS Scholars program (a living and learning community of STEM scholars), and externally funded projects/programs as assigned by the Principal Investigators (PIs).
The position is grant funded. Current anticipated end date is October 1, 2024.
Essential Duties and Responsibilities
- Interacts and maintains liaison relationships with students, faculty, staff, and program partners in facilitating project goals/objectives.
- Serves as the primary point of contact for day-to-day programmatic activities.
- Oversees and coordinates the day-to-day management of programmatic activities of the LINCS Scholars program, specifically those related to the logistics of organizing professional development workshops such as ‘What is Research’ and ‘Collaborative Learning’ and hosting invited speakers. These include but are not limited to scheduling activities and recruiting students.
- Develops and implements a process for Scholars to maintain an electronic portfolio, resume, or professional toolkit to connect their essential skills to opportunities (i.e. badge system).
- Assists with data collection activities and manages the storage of collected data. This will include developing and maintaining databases of program participants, activities for monitoring and reporting, and tracking application and acceptance rates for graduate and professional schools.
- Assists the program evaluators to measure successes that can be effectively communicated to the Directors, funders, and other constituents.
- Compiles and analyzes assessment data and develops reports and writes manuscripts.
- Maintains project budget, orders supplies and monitors expenditures for program activities; and ensures projects are delivered on time and within budget.
- Collaborates with PIs to develop yearly budget reports and annual program activity reports that meet the needs of the project and requirements of funding sources (e.g., Vivien Thomas Scholars Initiative, Merck, IPERT, etc.).
- Develops and recommends creative ways to promote the programs activities and outcomes including, but not limited to, branding, and maintaining the program social media and web presence and developing creative advertising for all events and activities.
- Co-leads the planning of program lectures, collaborative seminars, and events.
- Designs external documents such as marketing collateral, presentations for prospective and current students, (potential) investors, and/or partners.
Required Qualifications
Bachelor’s and a minimum of three years of experience in data collection and program management or coordination required, preferably in a college/university setting. A scientific background is a plus.
Strong oral and written communication skills and a demonstrated ability to prepare routine correspondence and proofread documents are required. Excellent interpersonal, record-keeping, organizational, and customer service skills are necessary. This position requires demonstrated ability to prioritize effectively, interact in a diverse community, and function in an active daily environment. A professional demeanor with the ability to interface with internal and external partners with diplomacy and confidentiality is essential. Independent judgment is necessary to plan and implement the objectives of the grant, prioritize and organize a diversified workload with attention to detail. Work requires fact-finding and compilation skills, plus the ability to perform various tasks simultaneously, with little supervision.
To perform this job successfully, an individual must have intermediate skills using Microsoft Office Suite (Word, Excel, PowerPoint). In addition to producing correspondence, memos and e-mails, duties may involve assignments that require creating fliers, forms, PowerPoint presentations and spreadsheets using formulas, plus the use of Canvas, Ellucian Banner Financial Module and Internet navigation. The use of applications such as Qualtrics, Google Forms, and social media platforms are an essential component of the job.
