The Program Coordinator will collaborate closely with Program Managers to support them in managing retail facilities and construction related projects. The Program Coordinator will perform a wide range of supporting and administrative activities aimed at ensuring timely and accurate delivery of client projects.
Assist Program Managers with coordinating various project-related administrative tasks.
Drive delivery of programs or program elements under the supervision of Program Managers.
Ensure program continuity during program peeks and during Program Managers’ absence.
Liaise with program stakeholders to identify and define requirements, scope, and objectives.
Assist Program Managers with the creation of key documentation aligned to the used Toolkit and client Standards.
Attend weekly meetings and maintain and distribute minutes throughout the lifecycle of the program
Spearhead communications for all client and customer notifications and serve as the point of contact for all team members.
Assign tasks to internal teams and assist with schedule management.
Analyze documents and data as required within the scope of programs.
Make sure that program stakeholders and customers’ needs are met as programs evolve.
Analyze risks and opportunities and flag those proactively to Program Managers.
Monitor program progress. Record, monitor and escalate any issues where required.
Create and maintain comprehensive program documentation, plans and reports.
Prepare regular reporting on program status, calling out critical milestones, risks with impact and mitigations, bottlenecks and blockers with path to green.
Dive deep into data and documentation to support the analysis needed for program delivery.
Support with managing all program tasks and following up to keep project on schedule.
Produce required program close out documentation.
Desired skills and experience for this job
2-3 years’ practical experience, preferably in multi-cultural corporate environment.
Technical skills to include competent usage of the MS Suite and grasping quickly new technology.
Experience in program coordination, particularly in real estate and facilities programs and operations is a plus.
Eager and quick learner, focused on gaining hands-on experience.
Ability to work on multiple programs at the same time.
Drive to deliver results and achieve expected outcomes.
Comfortable with working across multiple geographies and cultures, virtually, across several time zones, in a highly dynamic organization.
Able to work with a team and independently, have experience in working with remote teams and stakeholders.
Strong organizational skills and capacity to prioritize and escalate in a complex, fast-paced environment.
Hands on approach, show attention to detail and ownership.
Strong in problem assessment and problem solving.
Capable in information gathering and information monitoring, able to analyze large volumes of data and documents.
Great communication skills are a must.
Strong writing skills allowing to articulate objectives, scope, and actions in narrative format.
An excellent level of English is mandatory, other languages are a plus.
