This position will be on-campus at FSU Panama City in Panama City, FL. As a Program Associate of Panama City Finance and Administration, this position will provide program support to PCC Finance & Administration, PCC Police & Public Safety, and PCC Facilities, Operations, and Maintenance. Typical duties include but are not limited to:
• Runs query for FMX bi-weekly schedule of events and formats the report to send to Director of F&A, Facility Use Coordinator, Maintenance Supervisor, and Switchboard, enters facility use requests, and responsible for parking permit program.
• Responsible for providing backup for entering requisitions for PCC-Facilities, Operations, and Maintenance and PCC Police and Public Safety Department from provided quotes.
• Estimates travel expenses for interviewees, guests, and employees; requests approval from Dean/Associate Dean to pay for interviewees, guests, or employee's travel; enters travel request; makes necessary reservations for travel; communicates reservations and travel policies to the interviewee, guest or employee and submits expense report(s).
• Process all Contracts for the NAP Dept., F&A Dept., and other Depts. as needed. Draft new contracts when necessary. Coordinate and execute training sessions for Contracts and Travel for the Panama City Campus.
• Provides backup for campus switchboard and the Mail Center, assists with Schedule of Classes list, posts and maintains all campus flyers in elevators and bulletin boards, attends SGC meeting as F&A representative, and reports to director issues discussed relative to F&A Dept.
• Assist other departments on campus with various duties, including maintaining cross-training across various administrative positions to serve as additional assistance or backup as needed during times of unexpected absences or surges of workflow. Other duties as needed.
High school diploma or equivalency and four years experience or a combination of post-high school education and experience equal to four years.
