Duties:
· Greet visitors and members in a friendly and professional manner.
· Answer phone calls, respond to inquiries, and direct calls to the appropriate staff members.
· Handle membership inquiries, process new memberships, renewals, and updates promptly.
· Manage appointments, program registrations, and class reservations.
· Ensure the front desk and lobby area is clean, organized, and well-maintained at all times.
· Provide information about our programs, services, and facilities to visitors and members.
· Oversee guest and member registration/payments/waivers.
· Maintain current membership and guest records utilizing management software system.
· Ensure that all who enter the building have been checked in and that members’ accounts are in good standing.
· Indirectly oversee volunteer receptionists to ensure quality communications via phone, internet, and face-to-face interaction follows our PVI culture.
· Assist the Program Manager with various administrative tasks, including scheduling meetings, preparing documents, and managing correspondence.
· Maintain accurate records and databases related to program participants, memberships, and gym usage.
· Assist in generating reports and insights to support program planning and decision-making.
· Coordinate with other team members to ensure seamless communication and collaboration.
· Participate in special events as may be required.
· Be actively involved with increasing the membership and participation at Little House.
· Participate in staff meetings, training sessions, and other team-building activities.
· Cover gym hours and evenings as needed.
Qualifications:
· High School diploma or equivalent.
· Experience working in an office environment and in customer service, preferably in a nonprofit or human services organization.
· Strong interpersonal and communication skills, with a customer-focused approach.
· Proficiency in Microsoft Office Suite and basic computer skills.
· Ability to multitask, prioritize tasks, and work effectively in a fast-paced environment.
· Prior experience working with seniors is a plus.
· Second language preferred but not required.
