 Sierra Health Foundation has core in office days of Tuesday, Wednesday, and Thursday.

 SUMMARY: The Program Assistant will be based out of the Sacramento office and will primarily provide administrative and program support to the Elevate Youth California program and general support for other Sierra Health Foundation departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative and Program Support

  • Schedule internal and external appointments, in-person and Zoom meetings, and conference calls.
  • Arrange all necessary travel, expense reports, and travel reimbursement requests.
  • Prepare monthly credit card transaction reports as assigned.
  • Organize and maintain files.
  • Accurate note-taking of minutes.
  • Collaborate with teams to prioritize, determine action, and respond in a timely manner to organizational and programmatic needs, requests, and projects.
  • Receive and screen telephone calls and e-mails, take messages, and/or follow up.
  • Photocopy, scan, or fax materials for internal and external distribution.
  • Assist other programs, as needed, for vacation coverage, special projects, board meetings, etc.
  • Enter data into the grants management database, as necessary, and ensure data is accurate and up to date.
  • Actively participate as a member of the team by collaborating and attending program team and Foundation-wide meetings. including data entry and management, support for programmatic and funder reporting, tracking reports and documents and other related activities.
  • Other duties as assigned.

 

Meeting and Event Coordination

  • Coordinate the logistics and preparation for foundation-sponsored virtual and in-person meetings and activities
  • Coordinate mailings to invite and inform participants.
  • Work with external vendors to arrange rooms, food, and meeting details.
  • Support the preparation of event materials including agendas, PowerPoint presentations, handouts, registration materials and other document production.
  • For in-house meetings, prepare the conference rooms with the required seating and Audio/Video equipment, partnering with IT and Facilities as needed.
    • Assemble program materials.
    • Coordinate with conferencing for catering and beverage services.
    • Greet and check in guests, respond to any individual or group needs, and clear the room after the meeting has concluded.
  • Prepare all aspects of web conferencing logistics for virtual events. Other duties as assigned.

 

SUPERVISORY RESPONSIBILITIES    

This position has no supervisory duties.

 

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE

  • Administrative and/or customer service experience, preferably in grant-making, nonprofit, or related fields.
  • Bachelor’s degree preferred, minimum of two (2) years of college or equivalent work history required.
  • Familiarity with public health, youth development, public policy, experience with place-based and/or health equity work is desirable.

 

LANGUAGE SKILLS                                       

  • Excellent written and oral communication skills.
  • Ability to read and comprehend instructions, business correspondence, and memos. 
  • Ability to write routine business correspondence.

 

COMPUTER SKILLS

  • Must be proficient in Windows, Microsoft Office, Outlook, database software, Adobe Acrobat, and internet use.
  • Ability to learn and/or knowledge of cloud-based systems, examples include Salesforce, Concur, Zoom, Teams, Mailchimp and Constant Contact.

 

OTHER SKILLS AND ABILITIES   

  • Passion for the Foundation's mission is essential.
  • Requires a high level of interpersonal skills to handle sensitive and confidential situations and documentation.
  • Must have excellent organizational and project management skills.
  • Requires the ability to read and interpret documents including contracts and grants.
  • The work requires continual attention to detail in data entry and analysis of contracts, composing, typing and proofreading materials, establishing priorities, and meeting deadlines.
  • Must have knowledge of office administration procedures and the use of and operation of standard office equipment.
  • Must be able to work independently and within a team on special and ongoing projects.

Sierra Health Foundation and The Center provide a generous benefits package, which includes Medical, Dental, Vision, Life and AD&D, Short-Term and Long-Term Disability, as well as an Employee Assistance Program and a discount program called Working Advantage. Retirement benefits are provided through our 401(k), which includes employee matching. Details of these programs will be shared during the hiring process. This is a full-time, non-exempt position with a hiring range of $24.00-25.50 per hourly.
