Job Summary
Under the general direction of the Program Supervisor/Director, performs a variety of technical and clerical duties and provides support and assistance to clients.

Primary Duties & Responsibilities
- Perform a variety of clerical duties including data entry, filing, and creating forms, documents, and brochures.
- Schedule appointments and facilitate client referrals based on program need.
- Collect and input data for billing, reporting, and tracking as necessary.
- Assist in the maintenance of program policies and operational procedures.
- Assist in gathering data and developing reports as needed/requested.
- Maintain supply inventory.
- Participate in community events.
- Complete assigned program projects.
- Perform monthly reports on CSHCS program activities.
- Provide customer assistance to parents of children with healthcare needs as services by CSHCS.
- Educate parents, physicians and community on CSHCS program and services available.
- Maintain confidential record retention and record sharing to coordinate service coverage or reimbursement.
- Communicate with Insurance companies to advocate for children’s needs.
- Ensure minimum program requirements are met as detailed by the MDHHS CSHCS program manual including mandatory trainings and updates.
- Coordinate with community agencies to arrange service provision such as schools, physician offices, service providers, etc.
- Maintain organized office environment and submit required documents via the state computer portal in a timely manner.
- Maintain communication via phone, letters and face-to-face.
- Update procedure manuals as needed and review annually.
- Participate in team and general staff meetings.
- Participate in public health quality programs (e.g., Quality Improvement, Quality Assurance, Quality Control).
- Participation in emergency exercises and training required.
- Assess own needs for professional growth and participates in education that increases knowledge and skills in area of responsibilities.
- Adhere to established policies and procedures and maintains client confidentiality.
- Perform other duties as assigned.
Qualifications
- Knowledge normally acquired through the completion of an Associate's Degree or a minimum of four years of experience in a clerical position.
- Minimum three years customer service experience.
- Strong Microsoft Office and data entry skills.
- Strong interpersonal and customer service skills.
- Ability to multi-task simultaneous projects requiring concentration and attention to detail with frequent distractions due to people and telephone calls.
- A valid Michigan driver's license, an exceptional driving record, and a personal vehicle including proof of vehicle insurance are required.

- Clinic/Office environment.
- Travel may be required.
- May have contact with infectious disease and exposure to bloodborne pathogens.
- On-call availability to respond to emergencies (e.g., program-related and public health emergencies).
- Extended workdays (beyond 8 hours/day) and weekends or holidays may be required.
- May encounter threatening people and other dangerous situations.
