Job description

The Institute for Clinical and Economic Review (ICER) is an innovative, independent non-profit healthcare research organization dedicated to improving the application of evidence throughout the healthcare system. ICER produces influential public reports evaluating the clinical effectiveness and value of new treatments, tests, and delivery system interventions. These reports have strongly influenced insurance coverage policies and clinical guidelines while gaining prominence within the national debate over the cost of healthcare. Among ICER's key initiatives are public meetings that represent a unique platform from which to advance collaborative efforts to analyze scientific evidence on effectiveness and value, foster an honest dialogue with the public, and translate this evidence into action to improve patient care. We are seeking a Program and Events Coordinator to support our public panels and other core functions of ICER. Details on the specific responsibilities and minimum qualifications are provided below. Job Responsibilities
Under direction of the Program Director, the Program and Events Coordinator will support the key functions of ICER's core programs and Events, including:
  • Planning and logistics for all ICER events, including our Public Meetings, board gatherings, and donor events:
    • Planning and assisting with all aspects of event and webcast administration including venue identification, vendor selection, site logistics, catering, and A/V requirements
    • Serving as liaison with vendors on event-related matters
    • Coordinating and monitoring event timelines and ensuring deadlines are met
    • Supporting the ICER team in working with event speakers, including but not limited to, coordinating prep calls, preparing meeting materials, event set-up and breakdown, and securing hotel accommodations
    • Managing registration tracking, payments, and other communication initiatives related to events
    • Directing the preparation meetings, including printing of name tags, agendas, marketing materials, etc.
    • Additional responsibilities for virtual meetings:
      • Setting up and managing Zoom events for a variety of audiences
      • Creating Standard Operating Procedures for different types of Zoom events and webinars
      • Creating and sending out technical guidance for panelists participating on Zoom events or webinars
      • Displaying slides or other presentation materials during Zoom events or webinars
      • Providing technical support during the day of virtual events
      • Preparing meeting materials for all virtual events
      • Researching, selecting, and training staff on different technical solutions for virtual events (polling software, etc.)
  • Project scheduling and coordination for ICER's research projects, specifically:
    • Tracking and collating public comments on reports and other ICER documents
    • Providing project support to the Program Managers/Director
    • Assisting the Program Managers/Director in communications with appraisal committee members, and other key healthcare stakeholders (clinicians, health insurance plans, patients, life science companies)
    • Scheduling all project-related calls, ensuring availability of all internal and external attendees:
      • Weekly project team meetings
      • Ad hoc calls with various external stakeholders (life science companies, clinicians, patient organizations)
      • Focus group interviews with patients
      • Additional calls with the project team outside of the weekly meeting, such as dry runs for presentations or public comment review meetings
      • Assisting the Program Manager in scheduling preparatory calls with policy roundtable participants ahead of a public meeting
    • Disseminating appropriate materials ahead of meetings

Qualifications
  • Bachelor's degree required, public health, public policy, or health services research degree a plus
  • 1-2 years of work experience in event planning capacity
  • The highest levels of personal initiative and attention to detail
  • Ability to work independently and with a cross-functional team
  • Confidence and maturity in dealing with high-level public and private officials
  • Highly organized and flexible with experience supporting multiple projects
  • Ability to manage multiple tasks while meeting or beating deadlines
  • Demonstrated excellent written and oral communication skills
  • Proficiency with word processing, spreadsheet, emailing and database management software
