David Krempels Brain Injury Center (KBIC) is a 501(c)(3) nonprofit providing community-based programming for survivors of acquired brain injury (ABI). Our evidence-based therapeutic services, offered online and in Portsmouth, are designed and overseen by allied health professionals to improve the quality of life of those living with the chronic effects of brain injury. Position Title: Program Administrative Assistant
Reports to: Program Director
Position status: Full-time (37.5 hours), hourly, non-exempt
Wage range: $19.75-22.00 per hour - depending on experience.
Position Overview:
The Program Administrative Assistant’s primary responsibility is to provide administrative support to the center-based and online programs. The Program Administrative Assistant supports and works with a strongly collaborative, professional team, in a busy and dynamic environment, and is responsible for both short and long-term tasks and projects. This position is currently 3 days on-site and 2 days remote.
Duties & Responsibilities:
Data and Information Management
- Keeps databases up to date to meet day-to-day program needs.
- Produces membership attendance and other reports for Program Director and Executive/Operations team.
- Maintains up to date member and intern electronic files.
- Reviews and organizes program photos in electronic files.
General Operations
- Team expert using and troubleshooting software and systems used by program staff.
- Assists Program Coordinators with onboarding for new student interns, including orientation to SalesForce, Zoom, and SharePoint systems.
- Provides daily programming assistance, such as materials, meeting space, scheduling, and technical needs, and all other duties as assigned.
- Manages program supply inventory and places orders as requested by Program Director.
- Follows protocols for managing incoming checks and cash, including donations documentation, and remote and storefront bank deposits.
- Daily management of organizational mail and other deliveries.
Communications
- Fields general calls and emails to the program department.
- Assists with email, phone, and social media communications to interns, volunteers, members, family members, referral sources, and others to ensure the smooth execution of programs and services.
- Assists with keeping program information on the website up to date.
Education & Related Work Experience:
- Associate’s degree or equivalent and relevant work experience.
- Minimum of one year’s administrative experience, preferably in a non-profit setting.
Skills and Competencies Required:
- Experience with Salesforce or other contact management tools.
- Competent with SharePoint and other Microsoft Office 365 products.
- Skills/experience with using Zoom and other videoconferencing platforms.
- Strong skillset in learning, using, and troubleshooting IT and multimedia equipment.
- Highly organized, with excellent attention to detail.
- Proficient communication skills—interpersonal, verbal, and written.
- Warm, professional, collaborative, and flexible in nature.
- Strong time management, prioritization, and problem-solving skills.
- Proven ability to produce high quality work in a busy work environment.
Work Environment / Physical Requirements:
- Routine office environment.
- Able to lift/maneuver up to 20 pounds on occasion, and at varying heights.
- Occasional night / weekend work required.
- Must have own transportation, a valid driver’s license, and adequate insurance.
