Job Overview:
As a Procedure Scheduler for Tricity Pain, your primary responsibility is to ensure the efficient and organized scheduling of medical procedures and surgeries for patients under the care of the practice. You will play a crucial role in maintaining smooth patient flow and ensuring that procedures are authorized, within payor guidelines and are scheduled in accordance with medical protocols, patient preferences, and regulatory requirements.
Key Responsibilities:
Patient Consultation and Education:
Consult with patients to explain the procedure scheduling process.
Provide information about pre-procedure preparations, including dietary restrictions, medications, and any necessary tests.
Address patient concerns and questions related to scheduling and the procedure itself.
Scheduling Procedures:
Collaborate with healthcare providers, surgeons, and nursing staff to determine procedure availability and requirements.
Schedule procedures, surgeries, and treatments in accordance with the availability of medical staff, operating rooms, and equipment.
Ensure that scheduling aligns with patient and physician preferences, prioritizing urgent cases.
Obtain authorization for procedure and ensure all payor guidelines are met.
Patient Coordination:
Confirm patient appointments and provide detailed instructions for the day of the procedure, including arrival times and fasting requirements.
Coordinate with the nursing or anesthesia team to ensure that patients are properly prepared for their procedures.
Address any changes in scheduling and accommodate rescheduling requests when necessary.
Documentation and Record Keeping:
Maintain accurate and up-to-date records of scheduled procedures, patient information, and consent forms.
Ensure compliance with healthcare regulations regarding patient consent and data protection.
Insurance Verification:
Verify insurance coverage for procedures, ensuring that the necessary authorizations and referrals are obtained.
Assist patients in understanding their insurance coverage and any out-of-pocket expenses.
Billing and Financial Coordination:
Work with the billing department to ensure accurate and timely billing for scheduled procedures.
Assist patients in understanding and resolving any financial concerns or questions related to the procedure costs.
Compliance and Quality Assurance:
Stay updated on industry regulations, compliance requirements, and best practices related to procedure scheduling.
Ensure that all scheduling processes adhere to HIPAA and other relevant healthcare regulations.
Qualifications:
High school diploma or equivalent; a degree in healthcare administration or a related field is a plus.
Previous experience in a medical or healthcare administrative role is preferred.
Knowledge of medical terminology and the procedures specific to the specialty practice is beneficial.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Attention to detail and accuracy in record keeping.
Proficiency in using scheduling software and electronic health records (EHR) systems.
Understanding of insurance verification and billing procedures.
Compassion and the ability to provide empathetic support to patients.
Ability to work effectively in a fast-paced and high-stress environment.
