Position Title: Prevention Project & Events Coordinator
Status: Full-Time (40 hours per week)/Non-Exempt
Reports to: Prevention Director
Location: Hybrid Portland, Oregon - This position can work from home most of the time, but is expected to come into the Portland office weekly during conference seasons and occasionally travel throughout the state of Oregon.
Salary Range: $22.00 - $24.50 per hour ($45,760 - $50,960 annually), depending on a combination of education, certifications and experience.
About the Organization: Lines for Life is a non-profit dedicated to building hope every day by preventing substance abuse and suicide and promoting mental wellness. We have served thousands of people with addiction, mental health and suicide intervention services, treatment referral and drug prevention education.
Position Summary: This position provides project support, administration, and documentation for Prevention programs, projects and events. The position will be involved from start to finish of new and ongoing Prevention projects as assigned by the Prevention Leadership and support the Events Management Specialist during busy event seasons.
Responsibilities:
- The position will assist with the delivery of large-scale, complex, departmental strategic projects at the direction of the Prevention Director and Assistant Director.
- Develop, maintain and monitor project plans, project schedules, communications, work hours.
- Assist the Finance department on the systems for Prevention department expenditure budgeting and tracking.
- Organize meetings with key project stakeholders in the project and document and follow-up on important actions and decisions from meetings.
- Identify risks, mitigation plans, technical review and bring them to Prevention Leadership.
- Facilitate problem-solving with Prevention Leadership and stakeholders when obstacles arise in order to ensure project deadlines are still met.
- Collaborate with project team members to facilitate good project management practices that includes (but is not limited to) scheduling kick-off and other project meetings; and maintaining good project and operational documentation related project plans, status reports, meeting agendas and notes, and follow-ups.
- Serve as a point of contact for teams when multiple departments are assigned to the same project to ensure team actions remain in synergy.
- Communicate with stakeholders and funders to seek buy-in and keep projects aligned with goals.
- During busy event seasons, support the Events Management Specialist with event planning which may include helping support the following events:
- Statewide suicide prevention conferences
- Statewide opioid pain and addiction conferences
- Annual tribal training academy
- Perform other duties, such administrative and organizational tasks as needed.
Required Qualifications:
- Bachelor’s degree in a related field (i.e. Business, Project Management) or an equivalent combination of education, training and experience.
- Strong organizational and project coordination skills
- Event management experience
- Fundamental virtual meeting skills, including able to use Zoom and Teams meeting software.
- Strong aptitude for networking and building partnerships with diverse groups of people
- Excellent communication and customer service skills
Preferred Qualifications:
- Proficiency in event planning software such as CVent
- Suicide prevention and substance abuse knowledge
- Project management or similar certification
- Visual design and experience
- Suicide prevention and mental health certification(s) such ASIST (Applied Suicide Intervention Skills Training), QPR (Question, Persuade, and Refer), or MHFA (Mental Health First Aid)
Work Schedule:
- This position will primarily work Mondays through Fridays during the day, but may occasionally require working weekends and evenings for meetings and events during conference season,
- This position has the option to either work 100% from the Portland office or work primarily remotely but will be expected to come into the office regularly during the conference seasons and also will need to occasionally travel within the state of Oregon for event support.
Physical Requirements:
- This role requires the ability to sit or stand and work on a computer for long periods of time while planning events. This position is expected to come into the Portland office at least once a week for team meetings and expected to occasionally travel for events. The remainder of the time this work can be done remotely
- Telecommuting requires having a confidential workspace at home and meeting technology requirements.
