We are looking for a very talented, experienced and high performing professional to join our team and manage a growing and award-winning medical spa practice in Oklahoma City. This is a great opportunity to work in a fast-paced environment alongside medical aesthetics providers and support staff.

 

Job Functions and Responsibilities:

Operations & Staff

- Have a thorough working knowledge of all standard operating procedures, policies, and protocols that pertain to the operation of the practice

- Work closely with providers and support staff to adhere to treatment protocols

- Manage all components and scheduling using medical software system

- Manage staff and patient scheduling to maximize productivity of the practice 

- Lead front desk staff and medical staff and motivate them to achieve business goals

- Ensure the team creates a professional relationship with patients, promoting repeat and referral visits

- Conduct staff meetings, performance reviews, manage trainings, and assist in new hires

- Work with staff towards job excellence, performance/sales expectations, client service standards, policies and guidelines

- Ensure that all clerical and administrative duties, order processing, etc. are performed in a timely and efficient manner  

- Manage cleaning staff to ensure the clinic is compliant with health, safety, and hygiene standards 

- Oversee and manage product and skincare inventory, medical supplies and office supplies

- Oversee and manage all office equipment and service contracts 

- Meet and develop relationships with product representatives

- Assist with payroll and commission

- Resolve personnel related problems or difficulties

- Communicate to management any staffing or patient issues that require attention

 

Sales & Marketing

- Must have knowledge of all aesthetic services and products including fillers, laser treatments, wrinkle relaxers, facials medical grade skin care

- Develop and implement sales and marketing strategies to ensure that the practice reaches its service and retail revenue goals

- Manage and assist with marketing campaigns, marketing partners, event planning, and patient loyalty programs

- Manage and assist with company website, social media accounts, including content creation for social media marketing

- Provide pricing and quotes to patients in person and over the phone

- Oversee and manage practice email and SMS accounts for patient questions, bookings, and new patient leads

 

Patients & Customer Service

- Ensure that all patients receive exceptional service and resolve issues if patients do not receive anticipated outcomes

- Promote a professional and welcoming environment that enhances the quality of service and care offered to our patients

- Provide accurate and immediate responses to all appointment requests by patients

- Encourage and promote patient reviews to maintain high ratings on Google, Yelp, and other sites

- Ability to create structure and processes and ensure that they are implemented

- Excellent project management skills and the ability to manage multiple projects simultaneously

- Excellent interpersonal and communication skills

- Great team member and individual contributor and leader

- Exceptionally well organized and attentive to detail

- Good problem solving and analytical skills

- Ability to stay calm under pressure and deal with business/patient issues

- Able to represent our brand to all clients and patients

- Must have a strong interest in the medical spa industry

- Self-starter, independent, and thrives in a busy environment

- Strong analytical and business planning skills 

Education and other Requirements:

 

You must have experience managing a medical spa, aesthetics practice or other medical practice and have a college degree. This is a full-time position, Monday thru Friday with an occasional half day on Saturday. This is an office job in an extremely fast paced environment so you must be a team player and willing and able to lead others.  You must have proficiency with medical office scheduling software or be willing and able to learn.

Experience:

- Management:  At least 3 years practice management or medical office management
