Job Summary: The Practice Administrator is responsible for the overall management and administration of an ENT office. This includes overseeing financial operations, personal, marketing and patient relations. The administrator will work closely with the physician(s) to ensure the practice is running efficiently and effectively.
Position Responsibilities: (include, but are not limited to)
Oversee the financial operations of the practice, including budgeting, billing, collections, financial reporting, and daily financial management tasks
Manage personnel, including hiring, training, and performance reviews of staff, and employee relations
Maintain and improve patient relations through effective communication and customer service, including responding to complaints and developing process improvements
Ensure compliance with all federal and state regulations and accreditation standards, including HIPAA, OSHA, and labor laws
Collaborate with the physician(s) to develop and implement policies and procedures for the practice, and document processes and maintain records
Assist with business planning and the improvement of administrative processes
Act as a liaison with outside agencies such as government bodies and insurance companies
Keep informed of trends in practice administration, healthcare regulations, and claim remittance
Respond to questions from providers, staff, and patients in a timely manner
Inform employees of new policies and other changes
Oversee the efficiency of billing, receivables, and reimbursement operations
Analyze and present accounts receivable and financial reports to the physicians monthly
Develop and revise an annual practice budget
Monitor the profitability of each office or cost center, which could include: satellite offices and ancillary services
Manage accounts payable, properly codes checks to the proper expense category in the A/P software; prepare checks for physician signature
Maintain detailed knowledge about the local market: i.e., demographics, changing payor mix, consolidation, employers, etc.
Develop and maintain relationships with employers and business coalitions
Develop and maintain relationships with key hospital management and referring physicians
Perform other administrative tasks as required
Perform all other tasks requested by the physicians
The Practice Administrator is also the HIPAA Security Officer for their division. They will work closely with the division's IT Department and is responsible for:
Ensuring that appropriate security measures and standards are implemented and enforced with regard to ePHI
The security measures implemented should be based on the criticality, sensitivity, and public or private nature of the data
Review rights of authorized users of ePHI on a regular basis
Investigate and report on security problems and issues and refer such matters to the appropriate officials
Develop conditions of use or authorized use procedures for ePHI
Provide training to regularly remind workers about their obligations with respect to information and ePHI security
Remaining in a stationary position, often standing or sitting for prolonged periods
Moving self in different positions to accomplish tasks in various environments
Moving about to accomplish tasks or moving from one worksite to another
Adjusting or moving objects up to 20 pounds in all directions
Repeating motions that may include the wrists, hands and/or fingers
Operating motor vehicles
