Executive Assistant to theCFO/CAO
Primary Responsibilities: Provide administrative and organizational support to the Chief Financial Officer (CFO) & Chief Administrative Officer (CAO) to ensure effective daily operations of the Corporate Office.
Essential Duties:

  • Perform all duties with professionalism and confidentiality. Protect information, communication, and the interest of the Company, the Chief Financial Officer & Chief Administrative Officer (CFO/CAO), and the Corporate Office.
  • Ensure efficient communication with internal and external stakeholders.
  • Gather and analyze data and extract vital information to create reports, presentations, and documents as requested by the CFO/CAO.
  • Manage the administrative duties of the CFO/CAO Office and organize/ prioritize general issues that may involve research and problem solving.
  • Manage calendars and assist with coordinating meeting logistics for the CFO/CAO, including booking of meeting space, menu planning, materials, etc. Coordinate travel and meeting arrangements as needed.
  • Process PRH donation requests, purchase requests, expense reimbursements, and special requests.
  • Manage special projects in alignment with corporate initiatives, vision, and goals.
  • Prepare memos, complete forms, and generate reports and analysis as requested.
  • Ensure compliance with policies and procedures (P&Ps). Assist with drafting Company P&Ps, standard operating procedures (SOPs), and other documents.
  • Assist with training and development, process maintenance and control, and other special projects as needed.
  • Other duties as assigned.

Other Duties:
  • Perform other related duties as assigned or required by the Chief Financial Officer & Chief Administrative Officer.
  • Maintain confidentiality at all times.
  • Ensure adherence to company policies and procedures.

Working Conditions:
  • Normal office conditions, sitting, lifting, standing.
  • Must be able to travel off island or out of state if required.

Work Hours:
  • Must be able to work schedule determined by the Chief Financial Officer & Chief Administrative Officer
  • Must be able to work in excess of 40 hours per week, nights and weekends, if required.

Equipment Use:
  • Demonstrate proficient use of computers, resorts and sales applications and other company system software including but not limited to: Opera, Microsoft Office, PowerPoint, Excel, Birchstreet, and Dayforce.
  • Ability to use various office equipment including but not limited to telephones, calculators, photocopiers, and scanners.

Mental and Physical Demands:
  • Ability to use good judgement in all situations.
  • Ability to multi-task and work in a fast-paced environment.
  • Ability to prioritize and organize workload to ensure deadlines are met.
  • Ability to manage challenging situations and proactively seek solutions.
  • Ability to sit at a desk for the full duration of the shift.
  • Ability to work with company personnel and outside entities.

Communication Demands:
  • Must be able to communicate verbally and in writing to all levels of employees and department managers.
  • Must be able to effectively communicate with customers.

• Must be able to speak, read and write proficiently in the language of English.
  • Able to conduct presentations to large or small groups of people in a professional manner if needed.
  • Must be able to receive feedback and coaching as necessary.

Minimum Qualification Requirements:
  • High school diploma or equivalent.
  • Minimum 2-year associate degree or related work experience required.
