Job Title: Post-Production Scheduling Manager
Location: Culver City, CA (Hybrid)
Duration: 3 months contract with possible of extension
Description:
The position will provide administrative and scheduling support, work cooperatively with the team to archive finished A/V marketing assets; and service internal and external requests for material from the library of finished assets (Box Archive).
Administration and Scheduling
• Schedule dates, times and locations of departmental meetings in Calendar, post links to agendas, and update details as necessary
• Work with managers to develop meeting agendas and record meeting notes
• Curate and maintain A/V Post-Production Box workspace (i.e. the les, folders, and subfolders
• Create Campaign Asset Trackers and work cooperatively with supervisors to ensure the trackers are maintained consistently and accurately to keep asset ists current and relevant
• Work with Library Manager to transition Asset Trackers and lists to Airtable
Archiving
• Using information collected in Campaign Asset Trackers, submit Title Requests so they can generate Variants IDs; if necessary, consult with supervisors to identify differences between assets
•Enter information in MOAT (Marketing Ordering Assets Tool) to generate Asset IDs and names and create Media Orders to let know what deliverables they can expect to receive
• Maintain MOAT Bug Tracker to document issues experienced using MOAT; follow up with Video Ops regarding issues related to Library tools, processes and procedures
•Participate in meetings to renew and improve workflows
• Suggest changes to tools and workflow to improve efficiency
• Create or update existing documentation to reflect workflow changes
• Cross trains to provide vacation and sick day coverage of source requests, including:
• Work with the team and cross functional partners to ensure content is sent to vendors for both creative editorial and finishing service internal library requests, such as requests to share finished marketing assets with creative agencies for the purposes of ideation and online editorial
• Full archival requests from Agencies for copies of their finishes
