We are seeking a Planning Specialist to join our team, reporting to the Operations Manager and Chief of Staff for the Office of the Chairman and CEO. In this role you will have the ability to work cross functionally at all levels as you connect with others within the company. This is a fast-paced position that requires you to be flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality.
What You'll Do for Us
  • Takes direction from Operations Manager & Chief of Staff to ensure successful execution of details for the Office of the Chairman & CEO
  • Calendar management, including scheduling meetings with various colleagues internally and externally.
  • Plan & organize domestic & international meetings agendas and venues; Coordinating logistics for meetings, including scheduling of conference rooms and technology support as required.
  • Preparing, reviewing, and processing expense reports, and managing expense report approvals, in line with company T&E policy and budget, processing as needed on time ensuring correctness.
  • Supporting the scheduling and coordination of events, including room booking, catering, etc.
  • Executes details of travel including making hotel, car service, dining reservations. Verifies immigration, visa and all travel documents are completed and available for travel.
  • Provide support with highly confidential materials/documents.
  • Prepare reports, conduct tracking, and maintain budget.
  • Assists in coordination and organization of broader project plans to help keep projects on track, on budget, meet deadlines, keep team members aligned, etc.

Experience & Qualifications
  • 5 - 8 years of work experience with understanding of cross-functional collaboration, complex/high level logistics and event planning/management
  • 5 years work experience in a global setting preferred.
  • Great organization skills /work prioritization/ collaborative planning skills
  • Thrives in a multicultural and fast-paced work environment.

Skills:
Pay Range:
$92,400 - $111,100
Base pay offered may vary depending on geography, job-related knowledge, skills, and experience. A full range of medical, financial, and/or other benefits, dependent on the position, is offered.
Annual Incentive Reference Value Percentage:
