Job description

The University of Iowa Health Care, Department of Pharmaceutical Care, is seeking a full-time Pharmacy Supply Chain Manager to join our team. The Pharmacy Supply Chain Manager will oversee the staff and operations of the Pharmacy Supply Chain, ensuring appropriate purchasing, inventory management, and regulatory compliance.  They will work closely with leaders regarding contracting and opportunities. This leader will have a thorough understanding of Supply Chain and inventory management best practices.  As a leader of the department, they will work closely and collaboratively with other leaders in the Department to analyze, identify and implement opportunities to improve quality, enhance productivity and identify cost savings within all aspects of the health-system pharmacy at UIHC and its off-site locations. 

Position Responsibilities:

Purchasing

  • Oversight of all medication purchasing across the organization, including both pharmacy as well as offsite locations.
  • Collaborates with leadership to centralize buying activities across the UIHC multi-site Pharmacy Supply Chain.
  • Ensures purchasing practices are consistent across all areas.
  • Works collaboratively with 340B Team to ensure purchases are accurate by account and data is being uploaded appropriately.
  • Works collaboratively with procurement services to understand non-medication supplies utilized by pharmacy and assist with guiding purchases as needed. 

Inventory Management

  • Oversight of all medication inventory management processes across the pharmacy department.
  • Collaboration with teams and departments to support and maintain appropriate inventory of pharmaceuticals and supplies.
  • Oversight of medication inventory and supply levels and develops metrics to adjust required quantities to ensure adequate supplies.
  • Employs inventory management systems to maintain proper storage and security conditions for medications.
  • Facilitates product additions to the formulary to ensure product is obtained in a timely fashion and appropriately managed in all systems.
  • Maintain and optimize inventory management information systems.  

Contract Management

  • Coordinates the department's participation in group purchasing organization(s) in all pharmacy locations which includes but is not limited to:
    • Monitoring and capturing purchasing rebates
    • Identify opportunities for improvement
    • Guide corrective actions
  • Maintains agreements with wholesaler(s) and individual contracts with vendors or manufacturers for purchasing.
  • Serves as liaison/contact to wholesalers and vendors for all issues related to contract prices, contract performance, fill rates, contract compliance and supply adherence.
  • Reviews all agreements to ensure contract compliance, including uploading of pricing into wholesaler system and auditing for changes that may have occurred. 

Data / System Management

  • Collaboration with teams and departments to support and maintain Supply Chain regulatory requirements and integrity.
  • Collaboratively performs analyses of contracting opportunities, calculates savings and communicates savings analysis to pharmacy leadership as appropriate.
  • Monitors communications from suppliers and government agencies regarding drug recalls and coordinates appropriate action with the Purchasing Manager.
  • Analyzes and interprets a wide range of financial reports and provides feedback and advice to the Director of Business and Support services monthly including but not limited to:
    • Forecasting of drug expenses related to budgeting.
    • Understanding variances to budget by monitoring monthly budget reports and evaluating spend with vendors.
  • Ensures compliance with the Drug Supply Chain Security Act (DSCSA).
  • Ensures quality control, FDA licensing and/or regulatory certification is performed on all authorized pharmaceutical suppliers, including 503B analysis.
  • Development, implementation and monitoring of policy and procedures surrounding Supply Chain management.
  • Monitors local and national drug shortages and coordinates activities to maintain supplies 

Human Resource Management / Teaching

  • Completes hiring and performance evaluations for staff supervised.
  • Serve as preceptor for pharmacy students and residents.

Education Requirements:

  • Bachelor of Science degree in Pharmacy or Doctor of Pharmacy degree.
  • Current license or eligibility to be licensed as a Pharmacist by the Iowa Board of Pharmacy.

Experience Requirements:

  • Completion of an ASHP-accredited PGY1/PGY2 Health-System Administration Residency or minimum of five (5) years of experience working in a complex clinical pharmacy environment.
  • Excellent interpersonal, written and verbal communication skills.
  • Job-related experience with and/or commitment to service excellence and diversity in the work environment is required

Desired Qualifications:

  • A Master of Science in Pharmacy or healthcare/management related advanced degree such as an MHA, MPH or MBA is desirable.
  • Experience with data management, human resources management, project management and inventory management is highly desirable.
  • Experience effectively communicating and negotiating contracts is highly desired.
