Job Description
We are looking for a Personal Assistant to provide personalized administrative support to the CEO/General Manager. You need to be well-organized, have great time management skills and be able to act without guidance. You will perform a variety of administrative tasks and ultimately, you will contribute to the efficiency of our business.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office, various office equipment and other productivity applications. Must be flexible and willing to learn new skills. If you also have previous administrative experience and familiarity with the construction industry, we’d like to meet you.
Responsibilities
- Act as the point of contact between the CEO and internal/external clients
- Liaise with Controller and other key managers
- Interface and coordinate with other professionals, such as attorneys, insurance agents, government agencies
- Manage information flow in a timely and accurate manner
- Social media coordination
- Handle requests and inquiries appropriately, both internal and external
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Format information for internal and external communication — memos, emails, presentations, and reports
- Review social media content, edit and refine
- Complete templates for contracts and other forms and applications
- Maintain a filing system
- Update and maintain office policies and procedures
- Maintain contact lists
Requirements
- Construction administrative knowledge and experience
- Proven experience as a Personal Assistant, executive assistant or other senior administration position
- Proficiency in social media and profile management.
- Proficiency in Microsoft Office (in particular Excel)
- Construction environment knowledge and experience.
- Discretion and confidentiality
- Flexible and willing to learn new skills
- Excellent written and verbal communication skills
- Strong organizational and coordination skills
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Knowledge of office management systems and procedures
- Working knowledge of office equipment
- Additional administrative and management certifications a plus
