Personal Assistant

Position Overview:We are seeking a dynamic and organized individual to join our cleaning company as a Personal Assistant. The ideal candidate will be bilingual and possess excellent organizational skills to assist in administrative tasks including accounts payable (AP), accounts receivable (AR), and scheduling.Responsibilities:Accounts Payable (AP):Manage and process invoices, ensuring accuracy and timeliness.Liaise with vendors and suppliers regarding payments and inquiries.Maintain organized records of all financial transactions.Accounts Receivable (AR):Generate invoices and send them to clients promptly.Follow up on outstanding payments and resolve any discrepancies.Record incoming payments accurately in the system.Scheduling:Coordinate appointments and schedules for cleaning staff.Communicate effectively with clients to confirm appointments and resolve scheduling conflicts.Update and maintain the company's scheduling system.Bilingual Communication:Serve as a liaison between English and Spanish speaking clients and staff.Translate documents, emails, and messages as needed.Ensure clear and effective communication across all channels.General Administrative Support:Assist in general office duties such as filing, answering phone calls, and responding to emails.Provide administrative support to management as required.Maintain confidentiality of sensitive information and documents.Qualifications:Fluent in both English and Spanish (spoken and written).Proven experience in accounts payable, accounts receivable, or related financial roles.Strong organizational skills with the ability to multitask and prioritize tasks effectively.Excellent communication and interpersonal skills.Proficiency in Microsoft Office Suite and basic accounting software.Attention to detail and accuracy in all tasks.Ability to work independently and as part of a team.Preferred Qualifications:Previous experience in the cleaning industry or similar service-oriented business.Knowledge of scheduling software or systems.Certification or degree in accounting, finance, or related field is a plus.Join our team and be a part of a company dedicated to providing exceptional service to our clients while maintaining a supportive and collaborative work environment.
