The Personal and Executive Assistant is responsible for providing comprehensive administrative and personal support to the company's executives. This role involves a wide range of tasks, including managing calendars, organizing meetings, handling correspondence, and assisting with personal matters. The Assistant is expected to be highly organized, detail-oriented, and able to handle confidential information with discretion.
Key Responsibilities:
Calendar Management:
- Schedule and coordinate appointments, meetings, and travel arrangements for executives.
- Ensure all commitments and deadlines are met and conflicts are resolved efficiently.
Communication Management:
- Manage and screen phone calls, emails, and other correspondence.
- Draft, proofread, and edit documents, reports, and presentations.
Meeting Support:
- Prepare meeting agendas, documents, and presentations.
- Attend meetings, take minutes, and follow up on action items.
Travel Arrangements:
- Arrange domestic and international travel, including flights, accommodations, and transportation.
- Prepare itineraries and handle travel-related expenses.
Office Management:
- Maintain a well-organized office environment, ensuring supplies are stocked and equipment is functioning.
- Oversee administrative tasks such as filing, record-keeping, and document management.
Personal Assistance:
- Assist with personal tasks and errands for the executives, such as scheduling personal appointments and managing household matters.
- Handle personal purchases and handling of personal expenses
Confidentiality:
- Handle sensitive and confidential information with the utmost discretion and professionalism.
Prioritization:
- Assess the importance and urgency of tasks, ensuring that the executives' time is maximized effectively.
Project Support:
Assist with special projects and research as required, often involving data analysis and report preparation.
Qualifications:
- Bachelor's degree or equivalent experience.
- Proven experience as an Executive Assistant or Personal Assistant in a similar role.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Ability to multitask, work under pressure, and adapt to changing priorities.
- High level of discretion and the ability to handle sensitive information with confidentiality.
- Strong problem-solving and decision-making skills.
- Flexibility and willingness to work outside regular office hours if necessary.
