General Job Description:
Under the direction of the VP of People Operations, this position is responsible for supporting the People Department Team with various administrative tasks, general correspondence, document control, data entry, and assisting WPS staff with policy and People Department program administration.
Essential Responsibilities:
- Providing Human Resources Administrative support as needed in areas such as onboarding, employee relations, training and development, recruitment, employee engagement events, and other related activities.
- Assist the HR team with administrative-related functions. Including but not limited to:
- Data maintenance in our HRIS/Payroll system (ADP)
- Writing and editing emails, drafting memos, and preparing communications on the company's behalf
- Maintaining comprehensive and accurate records
- Performing minor payroll support duties
- Organizing meetings, including scheduling team events, candidate interviews, lunch and learns, etc.
- Enroll individuals in training programs, as needed.
- Provide exceptional levels of customer service to candidates, hiring managers, business unit leaders, executives, and vendors.
- Assist in the smooth orientation, internal movement, and departures by working alongside cross-functional partners.
- Run ad-hoc and regular reporting (headcount, recruitment, terminations, new hires, promotions, leaves of absence, etc.)
- Performing general office duties, such as filing, copying, distribution, etc.
- Other admin duties & projects as assigned.
Position Requirements (Skills, Knowledge, Abilities):
- Bachelor's degree in Human Resources, Business Administration, or a related field or equivalent experience.
- At least two years of experience in an administrative support role.
- Strong interpersonal, communication, follow-up, problem-solving, and creative thinking skills.
- Self-motivated with excellent people skills and the ability to contribute to a positive team-focused work environment.
- Excellent organizational skills and attention to detail.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficient with Microsoft Office Suite or related software.
- Proficiency with or the ability to quickly adapt to the organization's HRIS and talent management systems.
Preferred, but not required:
- ADP Workforce Now and Smart Sheets experience would be a plus, but not required.
- ATS Knowledge preferred
- Advanced Excel skills preferred (vlookups, pivot tables)
- Experience in CA employment a plus

Hours: This is a non-exempt position from Monday through Friday. Work hours begin and end between 8:00 am and 5:00 pm with a one-hour break for lunch and two rest breaks. Eight hours per day is required and other occasional overtime may be necessary per business needs. This role has the opportunity to be treated as a hybrid role. Attendance at the office in Torrance would be needed 2 to 3 days a week.
