Job description

Position Summary
Reporting to the Director, People & Culture, the Associate will be the primary organizer and keeper of department documents and will support the VP. They will serve as the associate for the department, file organization, and workflow organization and preparation.
The Associate will serve as the compliance support for the department ensuring files are in order and quarterly audits are conducted. They will assist in developing tracking systems and will work with the Talent Acquisition staff to ensure that all required documentation is maintained for new hires. They will also support new hire onboarding.
Major Responsibilities and Key Tasks
Compliance Support
  • Ensure personnel files are organized and compliant
  • Support site leaders and other designated employees with file compliance for grant-funded programs
  • Audit files and create systems for monitoring items that need updates (i.e.: physicals every 2 years, etc.)
  • Support general People & Culture organization and compliance efforts
People & Culture Projects
  • Support new hire onboarding as needed.
  • Engage with other P&C team members of various employee activities
Paper and Electonic Records
  • Develop systems for People & Culture paper and electronic files
  • Support documentation uploads to secure cloud-based storage
  • With VP, ensure records retention and disposal is monitored and implemented per CRCL policies
Day to Day
  • Will staff the front desk, handling telephone calls and serving as the first point of contact with visitors.
  • Assist other departments of central admin office, such as Development (processing donations checks, assisting with sending correspondence such as thank you letters, invitations, etc.)
  • M-Th in office, 8:30 -5; may initially work 4 days, 9 hours per day, then transition to 5 days, working remotely on Fridays.

Knowledge, Skills and Abilities
  • Minimum Bachelor’s Degree from accredited college/university or equivalent documented training and experience.
  • Minimum of two years of related administrative support experience.
