Position Summary
This position will provide a broad range of payroll, human resources (as it relates to the employee's lifecycle through Workday HCM) and visa support for the Energy, Environmental & Chemical Engineering (EECE) department.
Job Description
Primary Duties & Responsibilities
Payroll
  • Responsible for entering and maintaining all non-exempt and exempt staff and student Workday HCM data for assigned department. This includes hiring, monitoring and tracking relevant job data, contract data, sourcing information. Ensures compliance with government and university rules and regulations. Follows up to ensure that items are processed in a timely manner.
  • Coordinates the hiring of undergraduate and master's student workers, and summer program participants for the EECE Department.
  • Manages time reporting processes, including reviewing timesheets for errors and securing appropriate manager approvals.

Human Resources/HCM
  • Enters new appointments for faculty, staff, student workers, non-employee stipend recipients and contingent workers in Workday HCM. Ensures that individuals successfully complete their onboarding processes in Workday, providing assistance, training and information as needed.
  • Oversees offer letter generation for postdocs, technicians, visiting scientists, and staff.

Visa Processing
  • Coordinates information, paperwork, and provide support, to international faculty, visiting scholars and postdocs on all aspects of visa and permanent residency applications, processes and issues. Duties include contacting visiting scholar, once identified, to assist with preparation of paperwork with regards to J-1, E3, H-1B visa requests, as well as compiling information for permanent residency applications as requested, working closely with, and under the guidance of OISS and external attorneys.
  • Processing and entering all visiting researcher appointments into appropriate system(s).
  • Coordinates paperwork and provide support related to foreign national and visa processes for the department.

Performs other duties as assigned.
Preferred Qualifications
  • Associate's degree.
  • Previous university experience.
  • Proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Adobe Acrobat Pro, Adobe Illustrator, and various social media.
  • Experience with HR/HCM functions.
  • Excellent customer service skills.
  • Superior demonstrated oral and written communication skills.
  • Experience in office management and event organization.
  • Impeccable discretion and good judgment with highly sensitive and confidential items.
  • Strong attention to detail with ability to multitask and problem solve.
  • Thoughtful decision making.
  • Ability to prioritize multiple tasks with frequent interruptions.
  • Ability to work independently, prioritize and manage multiple projects with minimal supervision and with a high degree of accuracy, reliability, and follow through.
  • Ability to learn tools to enhance productivity.
  • Ability to analyze and revise operating practices to improve efficiency.
  • Excellent interpersonal and organizational skills.
  • Ability to work under pressure with short deadlines.
  • Ability to get along and work effectively with people with a variety of backgrounds, educational levels and language skills.

Required Qualifications
  • High school diploma or equivalent.
  • 3 years of payroll experience.

Grade
G08-H
Salary Range
$20.76 - $32.21 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
