KBS Constructors, Inc. is recruiting a Payroll Coordinator/Administrative Assistant.  This position will provide accounting and administrative support with primary payroll processing responsibilities and administrative support to our accounting, HR, and project management departments.  The ideal candidate is a driven individual with high energy, attention to detail, strong communication skills, and a desire to support their teammates.  This position will allow for personal and professional growth, the ability to improve the company’s processes and procedures, and the opportunity for full ownership of the work performed.   
Responsibilities
Payroll

  • Accurate weekly payroll processing for 80+/- employees
  • Maintain/Update Sage 300 CRE payroll data, including but not limited to new employee setup, wage changes, and personnel notes.
  • Prepare Federal, State, and Local tax reports for multiple jurisdictions.  Ensure that taxes and payments are made by scheduled deadlines.
  • Research and understand payroll taxes for different states and localities.
  • Assist with employee benefit payments, such as 401k remittances, Union reporting, and supplemental benefits.
  • Prepare payroll-related reports/inquiries as required or requested.
  • Answers all payroll questions from employees and supervisors by conducting necessary research and responding in a professional and timely fashion.

 
Administrative/Accounting Assistance
  • Type or process a variety of documents, including contracts, subcontracts, and purchase orders. Maintain and set up files, both electronic & paper. Maintain long-term storage files.
  • Work within Sage 300CRE software to set up new projects and contracts for our Project Management team. 
  • Answer phones – screen/handle routine and/or non-critical items and pass them on to end users. Follow-through on routine requests. Notify employees that visitors have arrived.
  • Ensure office supplies are ordered and stocked as needed to ensure others have the tools they need to do their jobs
  • Scan and photocopy documents as required.
  • Ensure continuance of office routine in the supervisor’s absence.
  • Responsible for maintaining and operation of all office equipment.
  • Receive packages, office supply deliveries, etc. as required.  Ensure items are delivered/stored according to procedures.
  • Run miscellaneous errands, and pick up deliveries as required.
  • Ensure the professional appearance of the office.
  • Assist with ensuring the front office is covered from 8–5 unless an exception has been granted.
  • Maintain software directories.
  • Monthly reconciliation of bank accounts to General Ledger. 
  • Willingness to learn the KBS accounting processes to pitch in however needed. 
  • Provide support to the Director of Business Administration on various accounting needs and projects.
  • Provide support to HR, Project Management, & Preconstruction Services team as needed. 

Skills

  • Proficient in Microsoft Office Suite as well as other accounting software programs.

  • Ability to identify and recommend solutions for process improvements. 
  • Self-starter that finds solutions.

Education and Experience
 
  • High school diploma or equivalent required.  
  • A minimum of two years of Payroll, Bookkeeping, or related experience is required. May substitute Associate or Bachelor’s degree in Accounting/Business Administration for experience.  (Would be willing to allow a flexible work schedule to someone nearing completion of their degree)

Schedule: Monday-Friday, 8 am-5 pm.  Must report to work at the corporate office in Topeka, KS.
